**JOB TITLE: Court Systems Officer**
**LOCATION: Hybrid working, office based in Hounslow**
**PAY RATE: £15.82 per hour PAYE**
**START DATE: ASAP**
**DURATION/Hours: 3-month initial contract/ 36 hours a week**
**Role Purpose**:
- To provide high quality support and information to the YOS Court duty team to ensure that the service provided assists the Court in the swift and effective delivery of Justice for all young people.
- To efficiently coordinate the Referral Order Panel meetings and to ensure Community Panel Members receive timely reports and information to meet the timescales of the Court Order.
- To provide accurate and efficient financial administration to support financial reporting and the purchasing of materials and equipment as required.
- To effectively deliver all business and support functions to assist business processes and information systems within the YOS.

**Duties & Responsibilities**:
- Responsible for raising requisitions, setting up suppliers and subsequent queries. To issue petty cash to support YOS activities, maintaining accurate records and cash balances in order to ensure accurate and regular Imprest.
- Prepare and coordinate weekly Court information, actively liaising with Youth Offending Team Officers, Courts and other relevant parties in order to exchange information and follow up Outcomes for out of Borough appearances
- Attend Court to support the Court Duty Team, obtain information in a timely manner to support the Court hearing, ensure the receipt of all necessary Court information and deal with any queries in relation to Court matters
- Maintain integrity of data by inputting reliable information on the YOS case management system, following Court outcomes, requests for reports and other information within specific timescales to enable allocation of work by Operational managers.
- Prepare and lodge information for breach action for young people's failure to comply with Court orders and for the amendment of Court orders
- Responsible for setting up and organising Referral Order Panel meetings to meet the timescales of the Court Order, and ensure reports are available and distributed to panel members securely within agreed time frames.
- Regularly liaise with community panel members (CPMs) to ensure the smooth running of panel meetings and to build and maintain effective relationships to assist with the retention of the volunteer panel member workforce.
- Responsible for file maintenance and management, ensuring cases are created and updated within timescales, and relevant paperwork scanned and attached to the case file.
- Provide a professional and welcoming reception service for the YOS. To use case management and duty systems effectively to deal with enquiries regarding Court matters and ensure efficient reception management using tact and sensitivity and having due regardto the principles of customer care to enhance service delivery.
- Provide competent, accurate and timely minute taking of regular confidential risk management meetings, updating actions on case management system in order to manage risk levels and partnership involvement
- Provide administrative support as required
- Ensure efficient office management such as maintaining appropriate supplies and services, coordinating building maintenance using Council systems and following departmental procedures
- Develop, maintain and review court and administrative systems to ensure that the YOS and Court administration runs smoothly. To maximise the use of technology and other relevant initiatives, to ensure a swift and effective administration process.
**Knowledge & experience**:
- Knowledge of Court administrative processes, with the ability to interpret information and its relevance.
- Experience of working in an office environment, maintaining and developing support service systems, Court administration desirable but not essential.
- To have experience with databases, MS Office and other ICT systems. Experience of Childview Youth Justice / Yois is desirable but not essential.
- Confident communication skills to effectively provide and share information with Court officials and a range of other professional staff and organisations that support the work of the service.
- Ability to maintain and review Court and office systems in order to maximise ICT and implement service developments.
- Coordinating panel meetings using MS Teams shared file, Outlook and calendar
- Financial Administration - raising Purchase Orders, checking invoices using ERP (formerly Agresso)
