Job description

We are seeking a full time Office Support Administrator on a fixed term, maternity cover basis to provide support across the full range of activities within reception and print and post but focussing primarily on reception duties. Daily tasks and activities will be as directed by Maxine Reeve, Team Manager, in accordance with where support is required on any day.

Responsibilities will include answering and transferring telephone calls and greeting visitors; maintenance of the telephone system directories and manual records, preparation of meeting rooms and management of their booking and associated tasks including ordering of partner lunches; maintenance of the firm’s diary schedule; preparation of statements, invoices, calendars for posting and processing trade mark notifications.

Additional responsibilities will be the emptying of dishwashers on all floors, scanning, distribution and sending of post and faxes and preparation of stationery orders. Some additional general admin support will also be provided to the Support Administration team, as work volumes across print and post and reception allow.

A confident, well-presented, professional and friendly telephone manner is essential for this role in addition to the ability and willingness to change conflicting priorities as the need arises. You should have a methodical and organised approach to work with good attention to detail, able to demonstrate a degree of initiative and be able to work without close supervision.
