**JOB SUMMARY/MAIN PURPOSE**

The Personal Secretary/Minute Taker will work to the designated PSW(s), providing effective, efficient and confidential secretarial and administrative support. This will include diary management, dictation, minute taking, mail management, audio, PARIS system, file maintenance and the preparation of papers, reports, briefing etc.,

**PRINCIPAL DUTIES**

The post holder will be responsible for all matters pertaining to administration to include:

- Providing full secretarial and minute taking support to PSW(s).
- To act as minute taker to Child Protection Case Conferences. This will include issuing of invitations, liaison with social workers, liaison with the Chairperson, collation of information and completion of agenda, taking of minutes and circulation of same according to Family & Child Care procedures.
- Transcription, circulation and processing of minutes within designated regional timescales to include liaising with panel members as and when necessary.
- Use of PARIS package to check Child Protection Case Conference information and update Case Conference outcomes and Pre-Birth cases.

Provision of secretarial and minute taking support to PSW(s) as and when necessary.
- To undertake diary management duties, both electronic and manual on behalf of the PSW(s).
- General drafting and typing of all correspondence, minutes, letters, memos, confidential reports etc. on behalf of the PSW(s)when required.
- Maintenance of any filing systems relating to the PSW(s), either manual or electronic and ensuring security of same.

Compilation of Power Point Presentations for PSW(s) as and when necessary.

Essential Criteria:
1. 4 GCSEs at Grades A-C / 9-4 to include English Language or equivalent qualification and one year’s administrative experience.

**OR**

NVQ Level II in Administration and one year’s administrative experience.

**OR**

A minimum of two year’s administrative experience.

**2. **OCR/RSA Stage II Text Processing Part I & II (Word Processing/Typewriting)

**OR**

A minimum of two years (24 months) typing experience, to include typing of reports, formatting and circulating of correspondence, organising meetings, *extensive notetaking/minute taking at meetings, distribution of minutes in a timely manner, diary management (manual/electronic) and general word processing.

*We would consider extensive to mean covering meetings daily/weekly.

**3.**Experience in the use of Microsoft Office products, eg Word, Access, Excel, etc.
