Health Records System Administrator Lead

The post holder is essential for the provision of a responsive, effective and efficient Scanning Bureau service to the Trust making sure the team constantly meets the agreed targets and service level agreements.
To be responsible to the Medical Records Senior Team Leader supporting the day to day provision of a comprehensive and effective medical records service for the Scanning Bureau. This includes making sure that all patients have their records available at the point of patient care.
Responsible for providing configuration management and technical support for the Electronic Document Record Management back-end system. Support will be carried out in accordance with the departmental standard operating procedures and policies. Provides day to day IT support for the Scanning Bureau team.
The role will also support the management of destruction and retention of electronic noting.
On a rotating basis there may be a requirement to work at other site locations.
To support the management of the Scanning Bureau team including staff management making sure the team perform to the agreed standard operating procedures
- Ensure the Scanning Bureau processes are adequately staffed each day to cover the service by the use of forward planning employing a flexible approach to meet any changes in workload.
- Manage and monitor the daily document scanning queues in the Teleform software. This includes resolving any errors in the queues.
- Ensure that all scanners are operational and are working to agreed specifications.
- To ensure that team members scan records to agreed standards and that appropriate quality control checks are undertaken as per agreed standard operating procedures. Escalating any issues to the senior management team.
- To ensure that all stationery and scanning separators are in place within the Scanning Bureau.
- Support and undertake Audits required in line with BS10008 standards. This includes the error management of records.
