Our Jaguar Land Rover dealership in Aberdeen is looking for a Service Administrator to join the team on a full-time permanent basis. The Service Administrator will work within the busy Service Department supporting the Service advisors and workshop with various administrative tasks including invoicing and document preparation.
**What you will do**
- Ensure all job card preparation is complete as per Service Core Process,
- Ensure printing of late bookings daily, ensuring that all relevant paperwork is attached,
- On daily basis print and review the ‘working in progress’ report. Ensuring that each outstanding WIP is reviewed for valid reasons on report and anything outstanding is completed,
- Review un-invoiced Labour and ensure its invoiced on a daily basis.
- Ensure Parts ‘R’ status report is maintained and updated daily, feeding back information to relevant individual for job.
- Check and complete daily cash debt report and ensure relevant information is fed back to responsible person,
- Manage Daily One Link Fleet report confirming that all jobs have been requested for payment,
- When and as required providing support to Front of House team throughout busy periods
- Ensure ‘Clock to but not invoiced report’ is reviewed, fed back and actioned daily,
- Ensure preparation for internal jobs are actioned promptly as per Service Core process and support for internal labour pricing to speed up sign off.
**What you will need**
- Strong administration skills
- Must be computer literate
- Have outstanding communication skills.
- Process driven, organised and exceptional attention to detail and accuracy
- Ability to prioritise a busy and demanding workload
- Muck in and all hand on deck approach
- Work effectively as part of team and confidently using own initiative
- Ability to pick up processes quickly and work in fast paced environment.
