An opportunity has risen for a motivated administrative assistant to join the MS Group team based at Mossfords Ely showroom. The role will be focused on providing comprehensive support to the Branch Manager however there may be occasions where ad hoc work is required across other departments.

**Key Responsibilities**:

- Dealing with and helping clients, potential clients and past clients with a range of queries and problems
- Answer and direct phone calls, taking messages. Also adding all information to in house computer systems
- Maintaining the Branch Managers diary - scheduling meetings
- Processing customer issues seeking input from Branch manager
- Advising Customer of outcomes of order or enquiries
- Deal with all inbound mail handling, scanning to relevant inhouse computer systems. Updating any amendments with the Branch Manager.
- Chasing leads from the branch. This will include qualifying all leads and prioritise the response. Creating a mailing list from the leads and mail
- merge into direct mailing
- Creating an inspection request, following this up and making sure the inspection completed
- Taking WIP payments, this will include checking orders in production for nonpayment
- Prioritising DO NOT DELAY order payments
- Chasing outstanding balances 2-3 weeks before due dates
- Updating all in house computer system with information on a daily basis
- Daily reconciliation to incoming payments

**What we're looking for**:

- Excellent communication and customer relations skills, with a demonstrated ability to foster strong relationships and ensure exceptional customer satisfaction
- An understanding and empathetic approach, this role will at times be dealing with customers at a difficult time so will need to be able to adapt their approach
- Proven experience in an administrative role
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) andthe ability to learn new systems with ease
- Excellent organisational and time management skills, with the ability to prioritise tasks and meet deadlines
- Strong attention to detail and accuracy in all work tasks
- Ability to maintain confidentiality and exercise discretion in handling sensitive information
- Proactive problem-solving abilities and a willingness to take initiative
- Flexibility and adaptability to changing priorities and demands
