Practice Administrator

**Highfield Surgery** is looking for an experienced, enthusiastic and self-motivate and efficient Administrator to support the Practice Manager and Clinicians in all aspects of the running of the surgery.
Ideally you will have previous experience of workforce planning and very good IT skills, along with good organisational skills and ability to work under pressure and to use own initiative.
**Working Pattern - Monday to Friday (25 -30 hours)**

To provide general secretarial and administrative support to the Practice Manager, Doctors and Health Professionals. To manage data quality issues, provide advice and guidance to all practice staff in the use of the clinical system. To be a crucial part of the claims process for work undertaken as part of enhanced national or local services.
**Responsibilities**:
- To provide an efficient word processing service for GPs and Health Professionals as required. This includes the typing of letters, reports, patient referrals, minutes, memorandums, etc. in an accurate and quality manner adhering to the systems and protocols as required by local agencies and NHS England.
- To respond to patients and other agencies enquiries & requests to ensure that patients referrals are actioned appropriately, particularly urgent referrals.
- To manage recall systems to ensure that chronic diseases and conditions are reviewed annually and to ensure disease prevention national targets are met.
- To have good knowledge of IT to include word/excel and any new clinical system that are required from NHS England for us to use.
**Coding**:
- To utilise IT systems to:
- Record summary of new patient’s history on receipt of records
- Enter summary of information from letters/discharge summaries received from hospitals
- Enter clinical/treatment/management information from other agencies
- Scan and record/edit information/diagnosis received from letters
- Enter all episodes of care under appropriate coding
- Enter all new diagnosis under appropriate coding
- Send appropriate correspondence to patients usual GP
**General Admin**:
- To maintain the clinical rota/appointment system on Emis Web
- Monitoring MJOG/ AccuRx and utilising for recalls/campaigns
- To retrieve medical records and assist the completion of medical/insurance reports and copy records as required.
- PCSE processes: incoming/outgoing/deduction medical records.
- To assist with the gathering of statistics and information when required.
- To provide cover for members of the secretarial & admin team during periods of sickness and annual leave.
- Maintain adequate supplies of office stationery
- To manage Petty Cash and banking
- **_To assist the Practice Manager_** with on an ad hoc basis including:
Managing staff leave/sickness cover/locums as required
- Claims as required
- Organising new staff IT access
- Planning/recording meetings
- Other clerical and administrative duties as required

- Making effective use of training to update knowledge and skills
- Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards
