- Duties & Responsibilities

**Purpose**

To support the production of client proposals in line with Oceaneering’s Global Commercial Procedure to help grow the business with existing and new clients. The Proposals Coordinator is a key role within the Commercial Team, working closely with Sales, Business Development and Operations to facilitate the effective development and submission of quotes, proposals, and competitive tenders to a high standard, within client timeframes.

**Functions**

THE ROLE / EXPERIENCE

Co-ordinate tenders from start to finish adhering to established process. Tasks include but are not limited to the following:

- Create and maintain quotes, proposals and competitive tenders in customer relationship management system (CRM)
- Collate and manage all data requirements / inputs as requested by clients in line with the Global Commercial Procedure
- Develop proposal documents in XaitPorter, Oceaneering’s chosen proposals software
- Work as a core team member and liaise with other functions as required e.g., Sales, Engineering and Specialist Disciplines, Finance, Project Management, Contracts and Commercial
- Arrange and attend internal bid/no bid, kick-off, review, clarification and handover meetings with all relevant stakeholders to ensure client deadlines are met
- Facilitate and prepare content for procedural review meetings on bid strategy, cost, risk and lessons learned
- Liaise with Marketing to develop compelling bid content
- Contribute to the development of bid strategy
- Support the Commercial Team in ensuring appropriate controls are in place and to comply with all reporting standards
- Communicate working practices and policies to internal/external parties
- Attend regular meetings with sales and commercial to review and ensure that CRM records are updated and maintained
- Prioritise multiple bids, consistently meet challenging deadlines and effectively assimilate contractual, technical, and commercial information in order to provide a highly responsive level of service to meet client requirements.
- Perform the assigned tasks with due diligence regarding the Integrated Management Systems
- Undertake any other activities as required to support business needs

ESSENTIAL ATTRIBUTES

- Efficiency in the use of Microsoft Packages such as Excel, Word and PowerPoint; any previous proposals software knowledge is preferred but not essential
- Strive for continual development on a technical and personal basis including stretch assignments beyond normal role
- Ensure any work-related concerns or breaches in business standards are highlighted to Management in a timely manner and in accordance with any relevant procedures or processes
- Help develop colleagues and/or third parties as required.
- Eliminate waste of whatever form, to suggest the use of more environmentally friendly substances and practices and contribute to the continuous improvement of the environment.
