**Overall Purpose of the Job**:
Support the ESSA Business Development / Sales team with the co-ordination, compilation, submission and management of ITT and RFQ documents from initial receipt to win/loss.

**Key Activities and Accountabilities**:

- Supervision, co-ordination and compilation of best in class ITT and RFQ documents using company systems including XAIT Porter. Ensure document content is accurate, visually appealing, delivered to rigid deadlines and in compliance with BD QMS.
- Coordinates remote stakeholders including oversight of tender/bid preparation and approvals.
- Ensure due diligence completed on all bids prior to submission.
- Support stakeholders in meeting deadlines and ensuring the accuracy and quality of their inputs.
- Lead regular bid task list meetings ensuring any potential concerns are captured and addressed without adversely affecting delivery.
- Gather lessons learned from previous bids and ensure the bid process is refined accordingly.
- Maintain and develop an accurate and comprehensive XAIT Porter Library to support bid and proposal compilation.
- Compile folder structure for the ITT and circulate ITT to all designated personnel.
- Liaise with relevant Sales or Client Account Managers and formulate ITT Task List.
- Coordinate the compilation of market surveys, pre-qualification, vendor questionnaires, expressions of interests, proposals and other client requested material
- Work with the Product lines and Regions to develop on-line Price books for each Product Line and develop online sales kits comprising standard and internal product awareness and external sales presentations, pricing guidelines and features and benefit analysis
- Liaise with internal and external bodies when required to ensure all issues are discussed with the relevant parties to ensure effective communication to allow task completion within deadlines. Liaise with manager on any issues or concerns.

**Job Knowledge and Qualifications**:

- Degree or professional qualification
- Previous experience in similar role
- Experience with Bid Compilation System and QMS such as XIAT Porter® (or similar cloud-based collaborative, automated, high-value document creation solution).and database management systems preferred
- Experience with Client Relationship Management System such as Salesforce® preferred.
- Highly proficient in Microsoft office® (Excel, Powerpoint and Word)
