**Working within the Inside Sales Team, you will generate quotation documents for customers.**

**As Proposal Specialist you will produce winning bids which are informed by the customer needs and shaped by the experience of the management and the sales team.**

**The quotation documents you submit will convert to order, bringing revenue to the site and facilitate the future growth of the Regional Sales Team within the Business Unit. To present our customers with a winning bid you will draw on functions from across the site and region.**

**DUTIES & RESPONSIBILITIES**:
The position provides the focus point for customer communications, external sales and insides sales, manufacturing and internal functional departments.

The Proposal Specialist manages XL Systems tendering/inquiry process and coordinates customer commitments to successful project completion.
- Create and compile cost estimates for scope of work (raw materials, manufacturing, testing and freight etc.) to a level and accuracy required to support the specific bid.
- Integrate closely with external sales and service personnel to ensure effective communication and understanding of the customers’ needs and expectation and to facilitate order entry and manufacturing / supplier scheduling.
- Respond appropriately to all contract’s clarifications and customer requests for information in order maximize company opportunities; a regular and proactive approach will be required to seek areas where assistance may be given to build trust and enhance business opportunities.
- Support ongoing requirements for contract variations and pricing clarifications post customer award.
- Submit request for part numbers to Engineering once an award is imminent.
- Review fellow Proposal Specialist/Contract Costing quotations for accuracy and adherence to company pricing policy and objectives.
- Evaluate sub-vendor quotations and reply to bid clarifications with assistance from relevant engineering disciplines.
- Coordinate ITT requirements with other disciplines (ensuring bids are provided in accordance with customer’s specifications).
- Ensure adherence to company pricing policies and advance progress towards achieving company objectives.
- Maintain a detailed inquiry log and provide ad-hoc and monthly statistical report to Regional Sales Manager.
- Through regular discussions and meetings with internal personnel ensure a high standard of planning is performed to guarantee timely ordering, manufacturing and delivery of products and services required.
- Liaise with centralized supply chain function for RFQs of raw materials; request quotations from raw material suppliers as required.
- Maintain a comprehensive understanding of contracts and orders to enable the fulfilment of all contractual obligations.
- Arrange and chair internal Bid review meetings on receipt of invitation to tender; Attend and participate in customer bid clarification meetings ensuring customer care is foremost.

**QUALIFICATIONS**:

- Relevant degree/HND and/or have working knowledge of contract management / commercial experience (essential)

**SKILLS, TRAINING OR SPECIAL KNOWLEDGE**:

- Computer literacy (including good command of Microsoft Excel, Word, and Outlook) (essential)
- Experience with ERP Systems (essential)
- Awareness of CRM Systems (desirable)
