We are seeking a highly motivated and committed receptionist to join the Breast Care Centre team at Musgrove Park Hospital.

The Post

We have an opportunity available to recruit one part time (15 hours) post on a fixed term 12-month basis. The breast care department works between 8am and 5pm Monday to Friday. The working patterns for this post can be discussed at interview however the service is primarily seeking to recruit to the hours of 8am-4pm.

You will require impeccable interpersonal skills, to communicate effectively with colleagues of all levels of seniority, and be able to build excellent working relationships to ensure common goals can be achieved.

You will have the ability to work accurately and swiftly under pressure, to plan and organise your own workload and to work flexibly with the team.

About the Role

As a Breast Care Receptionist, you will be part of a team responsible for the co-ordination and organisation of the Somerset NHS Breast Symptomatic Service. The role includes:

- Meeting and greeting patients as well as confirming identifiable information to check them into the clinics on Maxims and NBSS (National Breast Screening System.
- Triaging patients via direct bookings on Maxims and Choose & Book (E-Referrals) on behalf of the consultants. Appointing patients clinical slots within their 2 week wait referral targets.
- Professionally answering calls from patients and other professionals as well as cancelling/rebooking appointments over the telephone as well as in person.
- Updating clinics on Maxims (i.e. blocking slots/closing clinics) according to consultant availability etc.
- Opening and closing of the reception waiting area.

**Shared responsibilities within the administrative team**:

- Face-to-face contact with patients (checking patients into clinics via Maxims and NBSS and checking personal and contact details)
- Triaging and booking patients via Maxims to arrange 2 week-wait and follow-up appointments as well as sending letters via Synertec.
- Dealing with sensitive telephone enquiries regarding appointment queries from patients and their families who are sometimes anxious.
- Dealing with non-clinical enquiries from hospital staff either face to face or by telephone.
- Liaise with and update consultants on clinical capacity.
- Daily personal contact with all members of the Breast Care Centre.
- Contact with I.T support.
- Contact with Porters to help with patients and medical records.
- Perform teamwork duties within the team when required.
- Ability to prioritise workload with limited supervision and using own initiative.
- Using Maxims and NBSSS computer systems, check whether patients have previous mammograms.
- Create appointments on Maxims, producing relevant appointment letters
- Make follow-up appointments from clinics
- Using the NHS spine portal system to identify patients
- Liaising with reception team and office manager to ensure cover arrangements are in place
- Printing daily outpatient clinic sheets in preparation for clinical staff
- Validating symptomatic clinics on breast care clinic timetable
- Requesting medical records to accommodate clinics i.e. POAC Clinic.
