**About the Role**
You will play a vital role at our clinic to ensure that treatment is stress free for our clients (and staff) by providing a range of administrative, clinical coordination and support tasks. You will need to be able to work both independently and as part of a team, and to quickly switch priorities and juggle workloads, as we are a busy team in a fast-paced environment who work together to create the best possible outcomes for our service users.
You will be responsible for Front of House at the clinic - greeting and assisting all enquirers and service users as well as staff, whether in person or remotely, with a welcoming, timely and professional manner and attitude, as well as maintaining the smooth running of the clinic. Clerical tasks including answering enquiries and arranging appointments, providing and processing documentation for clients and clinicians, assisting in communications with other professionals and the public.
**Skills and Competencies Required**- Previous reception / front-of-house / public-facing experience.
- Excellent communication skills, both verbal and written, including clarity, accuracy and good judgement of tone.
- Excellent interpersonal skills.
- A good telephone manner both speaking and listening.
- Good team-working skills; willingness to participate productively in team meetings or projects.
- Basic IT literacy and competent typing skills.
- Proven administrative, time-management and organisational ability.
- Willingness to learn new skills, complete training and participate in supervisions as required.
- Interest in and understanding of the areas of Mental Health needs, Eating Disorders, Obesity and wellbeing.
- Ability to receive issues raised by vulnerable or distressed clients, calmly and without bias.
- Initiative and a positive and problem-solving attitude.
**Main Duties**
- Make sure that clinic rooms are clean and presentable, equipped as needed, and at a comfortable temperature in preparation for sessions.
- Ensure the waiting area and facilities are kept presentable, clean, organised and calm.
- Ensure everyone keeps general rules in clinic to maintain a quiet and supportive environment for users, including not eating or discussing sensitive topics in client areas.
- Welcome clients, clinicians and staff to Flourish and help them feel looked after.
- Ensure the confidentiality of the service, service users and others, adhering at all times to legal requirements of GDPR.
- Be actively engaged in maintaining standards of Health and Safety, Fire Alarm procedures, COSHH, First Aid and Safeguarding - including ordering equipment, documentation or services.
- Act as Fire Marshall carrying out and recording fire drills etc (training provided)
- Act as First Aider ensuring first aid kits are maintained and kept in date (training provided)
- Produce rotas and in-house documentation including the Duties rota and Room bookings schedule.
- Be aware of all appointment times and participants and assist through communications in supporting clinicians to maintain a reliable and punctual service.
- Answer enquiries through any channel and send out information to anyone interested in our services.
- Be a channel of communication, passing on messages as required between service users, clinicians and staff as required.
- Record maintenance issues which need attention and contact relevant parties to fix them.
- Stock checks and ordering supplies for the clinic as needed.
- General correspondence between Flourish, other services, the public etc as required.
- Book in consultations, assessments, and liaise with clinical team as required.
- Send out pre-assessment documentation as required.
- Take payment for assessments, treatment etc and process / record appropriately.
- Assist in producing informative or promotional material for the clinic as required.
- Complete any training requested by the Clinical Director as appropriate to the role.
- Diary management for clinicians including arranging / cancelling appointments, meetings and advising participants.
