Senior Administrative Assistant

Exciting opportunity to join our client in supporting key academic operations processes, such as clerking boards of examiners and studies committees.

**Salary**: £23,715 - £27,131

Must be confident with IT and date entry

18-24m FTC (permanent post likely after)

Hybrid, 3 days in office, 2 at home.

Purpose of Role

The role-holder will work with existing teams and will provide cover for staff whose time is needed for the Single Student Platform programme. They will normally be assigned to one division of the Registry and Academic Support Directorate, but may work across other divisions at times to support the single student platform programme.

They will be responsible for supporting key academic operations processes, such as clerking boards of examiners and studies committees, processing marks and grades, processing mitigating circumstances; processing the outcomes of appeals and discipline cases; providing student support by answering student enquiries related to their studies or general student enquiries, supporting graduations, or helping to gather quality-related information.

These posts will support existing teams within the Directorate, and on occasions may also support Admissions and the Prospect journey or student finance related work.

Summary of Key Duties and Responsibilities:

- Support all aspects of processes related to academic boards and committees - including Boards of Examiners and School Studies Committees - from scheduling, to organising, clerking, minuting and post board/committee processing in the student administration system.
- Undertake particular administrative tasks related to student and academic processes according to an agreed division of labour with the school retained services.
- Staff student facing services, such as student helplines, enquiry management systems, or face-to-face support.
- Advise and support colleagues in Scotland, Dubai and Malaysia on the processes related to Registry and Academic Support.
- Undertake particular administrative tasks related to academic quality processes according to an agreed division of labour with the Academic Quality Division.
- Undertake particular administrative tasks related to student processes in admissions and prospect journey or student finance.
- Undertake other tasks related to academic operations as required by their assigned Team.

Essential
- Educated to SCQF Level 6 or similar or equivalent experience
- Experience of working within a similar environment as outlined above
- Competent in the use of relevant IT packages
- Well-developed interpersonal skills
- Demonstrable professional and proactive approach
- Demonstrable ability to work quickly, flexibly and accurately in a dynamic, changing and pressured environment
- Demonstrable provision of excellent customer service

Desirable
- Experience of redesigning and improving processes or procedures
- Experience of working in a quality assurance role in higher education
- Collaboration with multi-location teams
