**Job purpose**

To lead the executive administration support team and to provide an outstanding, personal admin support service to the Executive Team, including the Chief Executive, to optimise their effectiveness and efficiency by providing key executive support.

The post holder will take the initiative using personal judgement and a strong working knowledge of Anthem services, to resolve internal and external customer and client issues and deal appropriately with confidential or sensitive information on a daily basis.

**Main duties and responsibilities**
- Provide a courteous, professional and knowledgeable point of contact for the Chief Executive and Executive Team, promoting a positive image of Anthem at all times.
- Proactively manage the Chief Executive’s diary on a daily basis and coordinating with other members of the Executive Team, including planning, organising and coordinating meetings and travel through management of the end-to-end travel plans, planning of meetings and school visits, and production of itineraries.
- Day to day duties will include extensive diary and inbox management on behalf of the CEO, providing support to the senior leadership team, coordinating meetings, taking notes of meetings, acting as a gatekeeper on behalf of the CEO to internal and external stakeholders alongside general administrative tasks.
- Line manage the Executive Assistant Team (who serve as PA’s to the Director of Education, Director of People, Director of Governance and COO) and Trust Administrator, and ensure that administrative services function effectively and to a high standard on a daily basis.
- Understand the Chief Executive’s and Executive Team’s working style and priorities in order to facilitate this and match their requirements, including through management of the Executive Assistant Team, ensuring urgent matters are shared at the earliest opportunity.
- Provide high-level support for meetings. Plan the strategic agenda, ensure reports are produced to a high standard and that outcomes are communicated through the appropriate channels. Provide information and documents for meetings in advance. Attend and minute meetings as required.
- Support the Chief Executive with gathering content for reports and papers, prepare correspondence, and presentations.
- Maintain files, documents and correspondence and other papers, ensuring that briefing papers are prepared in advance and correspondence is effectively monitored.
- Lead on the delivery of key events during the year including Headteacher, staff and student conferences, other events as required during the year. Ensuring internal and external participants experience a professional service.
- Deliver excellent communications when dealing with all stakeholders, including Headteacher and Trustees. Build effective relationships with internal and external customers and stakeholders. Ensure communications flow seamlessly between individuals, the rest of the central team and schools.Promote and communicate the Anthem vision and values at all times, with internal and external stakeholders
