2. Job Purpose To be responsible and accountable for delivering high level administrative support across the NdS in order to ensure the full and efficient operation of the service. To take a designated lead for an identified key administrative function within NdS as required by the service and defined by the NdS clinical leadership team. To provide a professional and welcoming service to our service users, their families and carers, NdS team members, and representatives of community organisations and other agencies, both internal and external to Your Healthcare CIC.

3. Dimensions Your Healthcare CIC is a not-for-profit provider of community health and social care services in the Royal Borough of Kingston upon Thames and Richmond upon Thames Borough. It employs approximately 730 staff based across a number of Your Healthcare, Local Authority and NHS owned sites. In accordance with the policies and procedures of Your Healthcare, the post holder will carry out the dimensions of the role with the direction of the NdS clinical leadership team.

You will work directly with the team lead for administration, clinical leads for administration and as part of the NdS administrative team. NdS is comprised of the following three services. 1. Adult Attention Deficit Hyperactivity Disorder (ADHD) service - Kingston only 2.

Kingston and Richmond adult community learning disability service 3. Kingston and Richmond adult Autism Spectrum Disorders (ASD) service NdS is a large multidisciplinary team comprised of learning disability nurses, psychologists, psychiatrists and several other disciplines. This post holder would be expected to work from both team bases; Hollyfield House, Surbiton and Sheridan House, Richmond. The role will involve providing proficient and professional administrative support to NdS.

**4. Key Result Areas The post holder will**: Respond to or direct appropriately queries coming in to the NdS department in a friendly and professional manner. Exercise judgement when dealing with enquiries. Have a clear understanding of confidentiality and the need for discretion and sensitivity.

Ensure information and advice given is sound, appropriate and accurate. Be a main point of contact for all enquiries and visitors, meeting and greeting service users and carers attending Hollyfield House and Sheridan House and providing a prompt and appropriate response to queries and requests. Exchange information successfully with service users who may have communication difficulties, challenging behaviour and/or be experiencing anxiety or other negative emotions, and present in a distressed or agitated state. The post holder will be expected to follow agreed escalations when appropriate and to use tact, consideration, reassurance and negotiation skills.

Pass on relevant information effectively in a timely and responsive manner to NdS team members, including in crisis/urgent situations, when information sharing is required to reduce risk or harm. Work to resolve problems for service users and team members. Build operational and clinical knowledge of NdS disciplines to enable confidence and accuracy when providing advice or directing queries coming in to the service. Take ownership of specific administrative tasks or areas, ensuring these are delivered according to expected requirements.

Ensure other members are enabled and empowered to provide and support in these areas, particularly when there are gaps in administrative function. Work closely, cohesively and supportively with the administrative team to ensure a robust administrative service and fair distribution of workload. Seek clarity when needed and request assistance/communicate clearly if there are any difficulties completing tasks or meeting deadlines. Ensure all administrative tasks are completed in a prioritised and timely way, working both in collaboration with other members of the administrative team and independently.

Use and maintain established systems and processes to provide quality administrative support. Share ideas to help develop and improve current administrative processes/ create new ones. Propose changes to policies and procedures. Keep up to date with skills required to provide quality administrative support, as well as mandatory training.

Support process of organising personal and team training requirements. Ensure timely and efficient processing of referrals to the service on a daily basis. Liaise with referrers/service users when required, e.g. to provide or gather information, and to give support with the referral or screening process.

Ensure that clinical data is recorded accurately and within the required time frame. Prepare and collate highly sensitive information for reports, assessments and other clinical documentation. Produce letters, minutes, reports and other documents in a timely manner. Check for content and formatting errors and ensure information sent from NdS is accurate.

Raise invoices and sales orders as required. Order and
