Warwick Business School (WBS) is one of the largest academic departments at the University of Warwick. We are currently seeking an efficient and organised administrator to join us as a Group Coordinator to provide consistent and high-quality administrative and clerical support within our Group admin team to members of faculty within our academic groups, and to internal and external stakeholders.

You will have experience of delivering excellent customer service through effective team working and be able to demonstrate the ability to work effectively in a matrix organisational context. Evidence of well-developed administration skills, preferably in an HE environment, and a high level of IT literacy will be required, as will the ability to work with a high degree of accuracy and with attention to detail. You will be at ease working in a changing environment, being able to demonstrate flexibility to be involved in a number of operational support activities at any given time. You will have an ability to effectively take action to support a range of processes, to act on their own initiative, and to handle sensitive matters with discretion and tact.

**Job Purpose**

To provide professional administrative services to the Head of Group and all other staff within the Group, including internal and external stakeholders of the Group and School.

**Duties and responsibilities**

**Recruitment**
- Working with the Group Administrator and Head of Group, arrange induction of new academic and support staff within the Group.

**Group Administration**
- Provide PA support for the Head of Group and administrative support for other academic members of the Group, liaising with the Group Administrator where necessary to manage the workflow within the Group.
- Communicate professionally and effectively with internal staff and external partners, responding to queries as first point of contact for the Group and ensuring successful interaction and outcomes.
- Manage the organisation and preparations for termly Group meetings, and an annual Group-led Away Day.
- Order all office equipment and consumables including liaison with the WBS Facilities Team on office allocations, as well as to work closely with the WBS eSolutions team for the purchase of non-standard IT requirements.
- Coordinate conference arrangements for all Group members including obtaining the necessary authorisations and requesting conference registration.
- Maintain and update the development of the Group web site.
- Support the integration of PhD students into the Subject Group.
- Support the Group Administrator to maintain, implement and review relevant changes to Group level administrative processes.
- Support the Head of Group and Group Administrator in requesting the appointment of an Associate Fellow, Teaching Associate or Visiting Academic.

**Financial Administration**
- Responsibility for recording and monitoring the Group budget and flagging any issues/discrepancies with the Group Administrator / Head of Group / Finance as appropriate.
- Monitor budgets for research grants and research allowances.
- Advise and support academic staff, students, and external providers with respect to WBS/University financial procedures and regulation including OpeRA, Concur and the Research Allowance system. Check expense claims are correctly completed.

**Bought-in Teaching (including Teaching Associates)**
- Coordinate the Teaching Associate nomination and renewal process for the Subject Group.
- Organise payment to external providers (including PhD students) for teaching related and other activities ensuring the correct forms are completed and authorised.
- Coordinate, as directed by the Head of Group/ Group Administrator, Requests to Engage forms for Group Bought in Teaching. Arrange and monitor payments of fees and related expenses.
- Monitor the Group BIT budget discussing any anomalies with the Group Administrator / Head of Group.
