The school is looking to appoint an HR Administrator to work in our Human Resources department. This post will report to the HR Manager. The Human Resources department comprises a HR Manager, HR Advisor and HR Administrator. The majority of the HR Administrator’s time is spent on recruitment and onboarding activities, but they have the opportunity to support other aspects of HR in addition. This role may be suited to an experienced administrator with an interest in HR, or to someone at the start of their HR career who is keen to learn as part of a small, inclusive team.
The HR department works to support staff right across the school community. We currently have 330 employees on a variety of contracts as well as volunteers, self-employed staff, service providers and contractors.
**Key responsibilities of the HR Administrator**
**General**
- Acting as the main point of contact for incoming telephone calls to the department.
- Providing a ‘triage’ service; answering queries from staff if possible, and redirecting within the HR team or to other departments as appropriate.
- Being mindful of, and behaving in line with, the expectations of all staff at St Swithun’s, particularly with regard to safeguarding and the staff behaviour policy;
- Maintaining and developing effective filing systems (both paper and electronic);
- Supporting the implementation and maintenance of a new HR information system, along with other data systems and spreadsheets;
- Generating reports as required for staff details, pay, absence etc.
**Recruitment**
- Drafting recruitment information including adverts and job descriptions, and placing adverts once approved;
- Creating effective interview schedules, considering the diaries of all required staff;
- In conjunction with the HR Manager and hiring manager creating relevant skills tests and interview question sets.
- Maintaining recruitment files, ensuring storage and deletion in accordance with the School’s Privacy Policy and Data Protection Policy;
- Completing all required pre-employment checks including DBS processing, inputting into the school’s Single Central Register and staff information system;
- Liaising with other departments to ensure necessary checks are conducted for contractors, volunteers, governors and agency staff;
- Liaising with the executive assistant in the senior school regarding teaching and boarding recruitment.
**Employee relations**
- Assisting with the tracking of absence information;
- Assisting the HR Manager and HR Advisor in producing HR letters and correspondence;
- Providing administrative support for casework such as minute taking or other confidential support if required.
**Learning and development**
- Monitoring the support staff appraisal process, including identifying training needs and escalating to the HR Advisor as required;
- Being responsible for tracking, chasing and recording the completion of induction and annual mandatory training for all staff, and working closely with other departments involved with training.
**Pay and benefits**
- Administering the school’s private healthcare scheme including membership renewals and queries from staff;
- Communicating staff starters, leavers and changes with other departments, in a timely fashion (including the finance, IT and marketing departments);
- Calculating salaries and holiday allowances (including term time only and part time) accurately.
**Employment law and regulatory compliance**
- Being aware of key aspects of employment legislation, and where to find further information and ensuring an awareness of education specific compliance requirements;
- Maintaining a working knowledge of school HR policies and procedures and where to find further information.
This is a full time role based on the school site and is not considered suitable for regular remote working. The normal working hours are Monday to Friday 08.30 - 17.00 all year round. We offer 6 weeks (30 days) of paid holiday as well as bank holidays.
The salary for this role will depend on qualifications and experience but is expected to be between £24,321.00 and £26,523.00 FTE.
