School Administration Officer

**Role**
The main purpose of this role is to provide efficient and effective support for an academic School including Head of School and the School Executive Team. The role involves overseeing administrative processes and systems to facilitate the smooth running of the School, providing the interface between the School, Faculty, University and external stakeholders.
Working closely with and taking direct instructions from the Head of School and, where appropriate, reasonable, and commensurate with the role, they may be required to offer support and signposting to other members of staff from within the school as directed by the Head or by their line manager.
**Duties and responsibilities**
- To provide committee servicing for school level meetings including dates and invitations, organising venue, developing, and distributing agenda, taking and writing minutes, bring forward papers and to log actions.
- To support Head of School with research administration, enterprise and knowledge exchange support including organisation of research seminars, ongoing researcher development; providing administrative support to School-based research projects; monitoring bursaries and QR funding; providing administrative support for the administration of Units of Assessment (e.g., minuting of meetings and collation of data) for the REF.
- To support the Head of School in HR functions, including the use of management information systems, relating to recruitment and induction of both established and sessional staff, checking Right to Work documentation, co-ordinating appraisal outcome reports, collation and document all staff sickness, annual leave and research leave etc.
- To support the Head of School with financial activities. This will include working with Faculty Operations Team on monitoring sessional teaching budgets and the production of sessional staff reports; raising purchase orders, sales orders, or invoices; or making travel arrangements for school or externally funded projects as required.
- To oversee the professional and efficient running of staff administrative processes and data to ensure an excellent provision of service to staff across the School/Faculty
- To coordinate School Health and Safety, facilities, and logistics, including moves and maintenance.
- To liaise with the Faculty Office, on the reporting of actions and coordination of student representatives for School and Faculty committees.
- To provide support in the preparation of materials (e.g student experience updates, reports, newsletters, media reports and social media) that raise the internal and external profile of the School.
- To organise a variety of School events (e.g. Staff Awards, Away days etc.)
**Skills and experience**
- GCSE A-C, or equivalent, in English and Mathematics
- Experience of working to tight deadlines in a busy environment
- Excellent written and oral communication skills.
- Good organisational and time management skills
- Able to work under own initiative and as part of a team, using strong interpersonal skills
- Skilled and effective minute and note-taker.
- Pro-active, approachable, self-motivated, confident, and professional.
- Ability to work under pressure and have a methodical and organised approach to work.
- High level of honesty and integrity.
