Business Support Administrator

**Position Title**: Business Support Administrator
**Job Purpose**:
Facilitate the efficient and effective day-to-day operations of the business by providing comprehensive administrative assistance across all departments and disciplines.
**Responsibilities**:
**Administration**:
- Handle reception duties including answering and distributing calls.
- Manage general filing and administrative tasks such as mail distribution.
- Coordinate meeting room bookings and prepare for meetings.
- Provide typing and secretarial support for reports, letters, and correspondence.
- Collate timesheets for payroll and manage staff expenses for accounts.
- Organize company inductions for new employees.
- Order and organize office stationery and supplies.
**HR Support**:
- Assist HR in preparing and maintaining training plans and personnel files.
- Maintain holiday charts and provide absence reporting.
**Accounts**:
- Upload invoices to the finance system and forward documents to Accounts for processing.
**Marketing, Website & Social Media**:
- Support business social media and website activities by uploading content.
- Produce project case studies for completed contracts.
**Commercial Administrative Support**:
**Estimating Department**:
- Support the Bid Manager in managing and submitting tenders.
- Assist with printing and preparing estimating documentation.
- Maintain company business profile on PCS and PCS-Tender platforms.
- **Surveying Department**:
- Assist with printing and preparing surveying documentation.
- Maintain subcontractor assessment database:
- Issue questionnaires.
- Record received assessments.
- Maintain certification validity.
**Operational Contracts Team**:
- Provide administrative support to operational site project teams.
- Type up project progress reports.
- Set up job folders (server and hard copy) and create project directories for each contract.
- Print drawing packs for sites and update drawing registers.
**General**:
- Assist with any additional business support or other duties on an ad-hoc basis.
**Skills and Experience**:
- Standard grades or equivalent qualification in English and Mathematics.
- Proficiency in Outlook, Word, Excel & PowerPoint.
- Excellent verbal and written communication skills.
- Ability to multitask and prioritize tasks effectively.
- Strong organizational skills and ability to use initiative.
- Numeracy skills.
- Ability to work unsupervised and prioritize workload.
- Full UK Driving license preferred.
Pay: £28,000.00-£30,000.00 per year
