**Job Overview**

Modality LLP is a large-scale provider of NHS and private Outpatient Services, renowned for its innovative approach to delivering efficient pathways for patients requiring specialist care, leading to high-quality patient outcomes. We work in partnership with a number of hospitals across the country to collaboratively redesign outpatient services with more care being delivered in community settings. We also deliver private care for patients with private medical insurance and for self-pay patients.

We are recruiting a number of Senior Medical Secretaries to provide all aspects of secretarial and administrative duties to a group of consultants and the wider clinical team for self-pay and insured patients/clients.

**Main duties of the job**

Senior Medical Secretaries will facilitate the smooth running of the patient/client journey by ensuring that coordinated and streamlined administrative processes revolve around the patient/client and their individual needs.

Senior Medical Secretaries will have exceptional customer services skills with the ability to deal with staff and patients/clients with a high degree of professionalism, compassion and confidentiality.

We are looking for individuals with highly developed organisation skills, ensuring that patient/client care is coordinated in an efficient, effective and proactive manner.

**Overview of your organisation**

Modality LLP is a provider of NHS community outpatient services within a number of regions across the UK.

Our service offer and expertise include:

- Over 15 years of experience of delivering community outpatient services
- Contracts with ICBs and hospital providers
- A diverse clinical workforce of consultants, GPs with extended roles, specialist nurses and allied health professionals
- Delivery of over 160,000 patient consultations per year
- Delivery of 1st consultations within a maximum of 4 weeks from referral from a choice of community locations, 7 days per week

**Patient & Client Care**

1. Coordinate, monitor and initiate appropriate administrative processes along the patient/client pathway to ensure the patient/client’s journey is managed efficiently, smoothly and in accordance with organisational targets.

2. Develop and maintain detailed knowledge of self-pay and medical insurance pathways and processes, ensuring that patient/client queries can be answered confidently and promptly

3. Provide efficient and effective administrative support to a variety of consultants, including doctors and other healthcare professionals.

4. Schedule appointments, manage diaries, and maintain accurate records of patient/client information.

5. Coordinate all key administrative tasks throughout a patient/client’s pathway including initial booking, facilitating payments, arranging follow up consultations, booking investigations, chasing results, completing outcomes, issuing letters and coordinating surgical procedures, as required.

6. Type up/review consultation notes from verbal/digital dictation, ensuring that this is completed to a high standard and within a timely manner.

7. Organise and coordinate patient/client consultations, tests, and procedures.

8. Prepare medical reports, letters, and other correspondence accurately and promptly.

9. Plan, attend and minute meetings relevant to the role, as required

10. Process confidential patient-sensitive documentation to and from patients/clients, other healthcare professionals and external agencies

11. Action any change in patient/client’s personal details, ensuring electronic data is kept up to date

12. Lead the day-to-day management of outpatient/inpatient treatment waiting lists, actively selecting patients/clients for surgery, preparation and administration of patients/clients, and close liaison with other teams/agencies to coordinate care.

13. Promptly checking and following up clinical outcomes and pathways following patient/client encounters and clinic appointments and ensuring there is no delay in organising the subsequent actions/steps in the patient/client’s care.

14. Maintain and update patient/client files, ensuring adherence to data protection regulations and maintaining confidentiality.
