Ward Administrator

Responsible for effectively assessing, planning and facilitating the provision of all administration needs arising from the IPU medical and nursing teams. Responsible for monitoring administrative procedures and systems. Liaising with external organisations to provide expertise and guidance on updates that will ensure compliance with best practice. To produce documents, reports and presentations in liaison with the IPU leads.
Responsible for delivering a robust and accurate support service for booking bank and agency staff cover. Including accurately recording information for invoice validation and ensuring staff anomalies are raised and dealt with in a timely manner. Communicating with team members to support the inpatient staffing rota. To establish and maintain an efficient, effective and up to date manual and electronic filing system and other administration systems with the ability to quickly store and retrieve key documents.
To assist with organisation, administration, co-ordination and logistics for IPU related events and meetings, including attendance at these to provide support. Ensuring the delivery of best practice in the administration of inpatient admissions and deaths, ensuring timely communication with bereaved families and key healthcare personnel internally and externally including CQC reporting. Responsible for sourcing and delivering prompt and accurate recording of patient information in support of statistical analysis, including initiating and maintaining waiting lists to admission records in liaison with the medical team and providing daily bed state information across the wider organisation. Attending and participating in daily handover meetings, specifically updating the teams on coordination arrangements for patients appointments and ensuring transport and escorts are arranged as needed.
Initiating, leading and managing training for bank admin support cover, monitoring performance and ensuring continuity of service is maintained. Attend annual reviews in line with St Margarets policy and undergo regular supervision with Line Manager Attend mandatory and statutory updates and evidence continued professional development Responsible for gathering and preparing information for multidisciplinary team meetings, updating the handover sheet with resulting actions and plans. Prompting the review and recording of outcome scores. Autonomous and competent in managing own time in response to varying service priorities and workload from different sources.
Excellent knowledge and understanding of a variety of systems to support projects, including excel, intranet, Microsoft teams, Dropbox and System One.
