The Maternity Administrator willbe requiredtoprovidehigh qualityadministrative and secretarial support to the Maternity Unit Managers. Some responsibility for the management of patient information and ensuringaccuratedata quality will also be a requirement. The post holder willbe requiredtoassistMaternity Managers with the smooth running of the maternity service, both within the hospital and community including housekeeping of stock/supply levels to ensure they are adequate for the effective and safe running of the service; ensuring equipment is in working order, serviced asrequiredand is operational. The post holder willbe requiredtoprovidea full and professional front of house service for patients, visitors and staff whilst promoting the positive professional image of the Maternity Unit and Airedale NHS Foundation Trust. The post holder must be flexible and be able to undertake other delegated duties as they arise, to support anever-changingservice. In pursuing theseduties,the post holder will ensure compliance with the NHS Constitution and be familiar with the NHS England Guidance ‘Understanding the new NHS’.
- Provide an effective administrative service/secretarial service for Senior Midwives and Maternity Managers.
- Assist with administrative duties as requested or delegated by the Maternity Managers.
- To have an awareness and ability to utilise different computer programmes to support with the production of statistics, reports and information e.g. spreadsheets, graphs, illustration.
- Communicate information in relation to meetings and enquiries. Attendance at required meetings, including arranging venues and equipment, typing and circulating agendas, taking meeting notes, producing minutes and uploading to AireShare.
- Maintain up to date manual and electronic filing systems to ensure efficient running of the inpatient maternity services.
- Responsible for the retrieval and tracking of patient notes across the division as required.
- To assist maternity managers in assessing the short fall of staff due to absence and requesting bank or agency staff where necessary.
- Provide and receive complex information and accurately communicate information. Answer telephone and convey messages.
- Knowledge of administrative systems, including IT systems and software packages / programmes such as Microsoft Office, Theatre Man, SystmOne and AireShare.
- Maintain confidentiality and discretion at all times. May be expected to prepare confidential information for meetings, personal files and reports.
