**The Role**:
**We are looking for an experienced, versatile and committed Office Administrator to support our operation.**

**Main Duties and Responsibilities**

Protect the company’s position and always represent the company in a professional manner.
- Reception duties such as dealing with incoming calls, greeting visitors and ensuring the Visitors Book is completed.
- Resolve any issues with the telephone system by contacting Support Services.
- Arrange accommodation and travel.
- Assist with the processing of expenses using SAP Concur, ensuring records are complete and accurate.
- Maintain Congestion Charge/Clean Air accounts with up-to-date details of current Company vehicles.
- Investigate any parking fines and any penalty notices received and deal with accordingly. Utilise the Tracker system to assist..
- Check daily attendance roster for office staff is up to date and report to HR if not.
- IT administration such as changing the Server back-up tape every day, liaising with our IT support on computer and software issues.
- Upload training certificates to employee records on UKG, our HR system.
- Contact Konvekta customers to chase outstanding pro forma payments..
- Create and maintain procedures for all tasks.
- Identify opportunities for improvements and put your ideas forward to your Line Manager.

**Hours of Work**

The core hours are 37:30 per week, 8:15 to 16:30 Monday to Thursday, 08:15 to 15:15 Friday, with a 30 minute unpaid lunch break each day.

**Qualifications, Knowledge and Experience**

Proficient in operating a company telephone system.

Good administrative and IT skills, competent user of Microsoft Office programmes.

Experience with using online expenses software such as SAP Concur - desirable.

Experience in online HR software such as UKG - desirable.
