Are you an experienced administrator with the ability to manage conflicting priorities? PropSource Consulting is thrilled to be working with a leading property management company that are seeking to grow their project team.

**About the position**

The purpose of the role is to provide support to the client-facing property management teams. This role is responsible for helping to ensure service standards are achieved and maintained and that legislative, regulatory and best practice requirements are met.

In addition to the the purpose, this position is primarily responsible for the collection, analysis and management of data relating to the residential property management portfolio across the UK and assisting the Project Supervisor in the delivery of support services to the wider business.

The role will require working directly with, externally, suppliers and contractors and internally with property managers, the property management accounts team and other internal support teams.

**Responsibilities will include**:

- To maintain, update and manage the Leaseholder, Tenant and Accounts databases to ensure thy provide a reliable source of up to date information for all teams.
- To maintain, update and manage the customer relationship management systems required to deliver property management services to HLM’s clients and customers.
- To provide opening and closing leaseholder and tenant data as required.
- To assist the Project Supervisor in collating and delivering ad hoc reports to the HLM senior team.
- To arrange client ICO registration in line with GDPR legislation as and when required
- To work with Leasehold Property Management to carry out new and annual Anti-Money Laundering checks as required.
- To manage HLM’s archive database, both in paper and electronic format, liaising with external contractors to arrange delivery to and from storage, implement shredding services and ensure compliance with agreed retention / destruction policies.
- To provide support and holiday / absence cover for other members of the Project team
- To undertake all duties in accordance with agreed company procedures, management agreements and current legislation.
- Carry out all duties within ARLA and ARMA guidelines and RICS code of practice
- Ensure that FCA regulation guidelines are adhered to in all working practices and behave in accordance with these rules and Treating the Customer Fairly guidelines
- Complete all mandatory online training courses in a timely manner and to take part in optional training courses as considered appropriate by the Branch Manager
- Be courteous and professional in all dealing with clients, customers, contractors and general public
- Be punctual at all times and ensure that you are dressed in accordance with the Dress Code
- Be an active team member; motivating and encouraging development of any assistants working with you in the management of your portfolio
- Endeavour to remain informed of new relevant legislation and best practice guidelines.
- Under guidance, responsibilities will also include:_
- Arrange registration and confirmation tenancies with Tenancy Deposit Scheme (TDS)
- To manage any amendments or TDS issues arising during tenancy
- To manage return and reconciliation of each tenant TDS account
