Executive Assistant

Our client is a leading FTSE250 healthcare investment company focused on founding, building, and funding a portfolio of global leaders in life science. They target the delivery of new treatments for patients in areas of high unmet medical need and focus on innovative science which has the potential to radically change patient outcomes.
**About you**
**Overview of Responsibilities**
**EA**
- Extensive diary management primarily supporting the CFO and GC and their respective teams - plan, prepare, pre-empt & be productive in carrying out efficient & effective diary, travel & event management
- Fielding calls/telephone liaison with VIP’s, potential investors, Board members and general
- Local and international travel coordination including complex itineraries working across time zones
- Scheduling meetings (including co-ordination of agendas) internally and externally and receiving visitors
- Correspondence, document collation, filing, printing & binding
- Scheduling of video and conference calls across time zones and AV set up in meeting rooms.
- Monthly expenses preparation
- Ad hoc EA cover within the assistant team
**Legal**
- Legal document administration and filling - CDAs, consultancy and general agreements
- DocuSign execution
- Maintain and control corporate documents & company bible filing
**Finance**
- Committee coordination & administration - proactively managing annual schedule, collation & distribution of papers
- Maintaining the overall finance timetable and ensuring the correct meetings and review times are in diaries
- Supporting the external reporting process and Board/AC process, including audit process coordination and support and formatting documents
- Collating information for compliance and regulatory purposes for external stakeholders
- System administration including complex mail merge in Word/Excel, experience with Mailmerge is desirable.
**Skills and Experience**
- Graduate calibre career EA with demonstrable experience of working with C-suite, including previous experience supporting multiple senior executives
- Excellent verbal and written communication skills
- Proactive, strong organisational skills, regularly act on own initiative
- Natural multitasker with the ability to prioritise and manage conflicting priorities in a professional manner
- Keen eye for detail
- Ability to maintain a high degree of loyalty, integrity and discretion. Confidentiality is absolutely essential
- Excellent IT skills, Outlook, Word, Excel, PowerPoint, Adobe. Knowledge of Microsoft 365
- Personal attributes: intuitive, proactive, ‘can-do' attitude, 'no job too big or small', Intelligent and switched on.
- Financial services, legal, investment and Listed company experience is advantageous
