**Key Objective for this role**

We are currently looking for a Business Support Officer in our Bicester Head Office to support the team and the day-to-day running of the office.

The purpose of this role is to provide full administrative support to the business and the Infield Operational Team.

The key objectives of the role is to deliver proactive, timely, accurate and effective administrative and secretarial support that helps the business to achieve departmental and organisational objectives.

This position reports directly to the Business Support and Office Manager and will require you to develop relationships with other key peers within the business.

**Your Responsibilities**

**Key responsibilities required include, but are not limited to**:

- Creating and processing orders from clients.
- Book consulting appointments on behalf of the Business Support & Planning Co-Ordinators for our field technicians with Zeta clients, ensuring that the appointments are managed efficiently in terms of location.
- Managing the external client databases.
- Producing reports and providing management information when requested.
- Ensuring invoices are raised to the correct amount.
- Signing off technicians' work to ensure it is completed accurately and on time.
- Perform accounting tasks, including preparation for invoicing.
- Tracking costs against client budget.
- Answering telephone calls and dealing with matters where possible, then signposting the query to the correct person.
- Communicating with and supporting field consultants.
- General Data Entry.
- Contribute to the continuous business improvement process and the meeting of business objectives.
- You may be identified to support specific specialities in your role, such as CAD & Marketing; this will be based on your competence and the commercial requirements of the business.
- To be always an ambassador for the company internally and externally.
- Comply with Health & Safety Policy and safe working practices, ensure responsibility for safety and discipline in the work area and report accidents and ‘near misses’ by defined safety procedures.

**What We’re Looking For**
- Good level of GCSEs.
- Proven experience as a Business Support Officer.
- Strong Microsoft package IT knowledge, in particular Excel.
- Extremely organised with excellent attention to detail.
- Solid communication skills to interact with internal and external parties with exceptional customer service.
- Excellent team player with the skill to problem solve effectively and create reports when required.
- Flexible approach to changing deadlines and prioritisation of workload and tasks.
- Ability to adapt flexibly to new priorities and additional tasks.
- The ability to work as part of a team and on your initiative is essential, along with the skills to be flexible, multitask and work to demanding deadlines in a busy working environment.

Plan and prioritise work to manage conflicting tasks, meet delivery deadlines/ targets, and review progress with minimum supervision.
- Must have the ability to cope with pressure.
