Clockwise Offices offer flexible workspace and meeting rooms that are as personal as they are professional, in key locations across the UK and mainland Europe.

We are looking for a community coordinator to join our location in Edinburgh. An ambassador Clockwise Offices who organises events programming, drives member engagement and retention whilst also providing day to day front of house administrative support to the location members and management team.

A confident and friendly communicator who is at ease, hosting events and building good relations with members and external organisations.

Works closely with Assistant Manager and is supportive of the leadership of the location General Manager, the Regional Operations Manager and the vision of the company.

**Responsibilities**:
Community & Events Management
- Upholds the Clockwise Brand Standards and Building Handbook
- Under the guidance of the location General Manager & marketing team; plan, promote execute, and host monthly member social, wellness and networking events within budget and on time
- Complete all events related administration in a timely manner for example event briefs, purchasing and marketing
- Gather event feedback from members and monitor engagement/attendance
- Actively looks for ways to enhance the member benefit package through networking and reaching out to suitable businesses in the local community & negotiating a discount/perk on their product or service
- Connecting with local charities and supporting their cause through in-house activities i.e., holding events in aid of and fundraising
- Produce and issue monthly members newsletter, update notice boards and member portal
- Identify opportunities to WOW members, through fostering relationships and celebrating Milestone, arranging welcome gifts and random acts of kindness
- Works with location management to analyse and act on Member Survey results
- Arranging new member welcome gifts liaising with the management team on new starts and scheduling.
- Conduct regular check-ins with new and existing Club and Dedicated desk members
- Create LinkedIn content on events/activities happening onsite, supporting members, marketing and raising awareness of our services
- First point of contact for general member queries and concerns, resolves, or escalates as appropriate.
- Member engagement related projects such as creating a business library

Sales & Marketing
- Proactively markets meeting rooms and catering to internal and external customers
- May occasionally conduct tours in absence of General Manager/Assistant Manager
- Looks for opportunities to upsell other ancillary revenue such as parking, IT, and printing
- Encourage members to leave positive reviews on Google and/or tripadvisor

Operational Support
- In conjunction with Assistant Manager ensure front desk duties are covered as and when required, processes incoming mail and packages
- Manages main location inbox and filters incoming calls
- Supports team with member on-boarding from creating passes and wi-fi logins, to conducting member inductions
- Supports with general building and member administration, from booking in meeting rooms to raising IT/maintenance tickets
- Co-ordinates with the third-party onsite Security and Cleaning teams as required
- Provides general administrative support to General Manager and/or Assistant Manager, covering specific areas of their role for short periods of time, as required.
- Maintains Member portal, Building Operations Manual and members directory.
- Manages cash collection for Meeting room and Day Pass customers, as required
- Purchasing consumables as directed by General or Assistant Manager
- Conducts regular building daily walkaround, delivers fresh fruit to kitchens and checks cleanliness, engages with members

People & Culture
- Understands and demonstrates the Values and Vision of Clockwise, supports our Positive Impact goals
- Acts as role model for Community Assistants in the wider business.
- Attends and contributes to daily team briefing
- Attends and contributes to regular team meetings chaired by the General Manager
- Prepare for and schedule in a monthly 1to1 with the General Manager
- Ensure you are working in a way which aligns to the Company Handbook

Safety & Compliance
- Support with upholding all health & safety standards within the building, reporting any issues to the Assistant Manager and/or General Manager
- Complete daily/weekly opening/closing checks as directed
- Assist Management team with the 6 monthly Fire Evacuation Drill
- Create and disable key fob access for new and departing tenants and members in line with your building’s standards.
- Sign in contractors to the building in line with the agreed standards.
- Record and report any maintenance issues to the Assistant Manager as appropriate.
- Displays understanding of Clockwise Brand Standards and Building Handbook
- Attend compliance, health and safety and First Aid training as required
