Practice Administrator

As the Practice Administrator you will be keen to begin your career in a dynamic and growing law firm.
The Practice Administrator will undertake a number of general office administration and reception duties and is proactive in their work habits and shows a high interest and engagement in all tasks delegated to them by the Practice Manager. They work closely with the Practice Manager, the Receptionist and secretaries to help maintain a smooth and efficient office.
**Duties to include**:
Reception cover: Covering the main switchboard operator when they are at lunch, on holiday, ill or otherwise absent
Outgoing post: Taking the outgoing post and DX each evening, including any ad-hoc hand deliveries to the post office on a daily basis
Purchase supplies: Ordering cleaning supplies and toiletries and maintaining good stock levels
Order stationery: Maintain stock levels and order replenishments
New enquiries: Receive new enquiries from clients via our website, and distributing accordingly.
IT: Reporting any IT issues to our IT providers and liaising with staff to get issues resolved
Scanning: assisting in the scanning in of historical documents and files.
Emergency secretarial cover where needed: Assisting various department with typing
Document / File storage: assisting the archivist (and covering on days off) with maintaining the firm’s record database ensuring all documents, deeds or other items lodged with the firm in safe custody and also any records or archived files retained pending destruction are properly recorded, and ensuring all movements are properly tracked
Updating and tracking the history of original documentation on the Case Management System when documents have left the office
Assisting the Practice Manager with maintaining and updating (as directed) the firm’s Office Manual and associated policy documents and directories
Assisting the Practice Manager with maintain and updating the general administrative records of the Partnership for example telephone listings, staff lists, LEXCEL records, reviews, audits and reports, records of equipment (including specifications) and in the case of IT software, Version numbers or Editions
Assisting the Practice Manager in the production of correspondence and documents on behalf of fee earners as appropriate and carrying out where delegated such administrative tasks or functions as required - eg placing employment advertisements, seeking quotations for building works or meeting with third party suppliers or agencies
Assisting where needed in the setting up of meetings or network events
Submitting gas and electricity meter readings to the various suppliers
Running errands outside the office
Observing strict confidentiality as appropriate at all relevant times.

Pay: £21,000.00-£23,000.00 per year
