Executive Assistant

**The Role**
This is an exciting position for a highly experienced Executive Assistant to provide a dedicated, efficient support service to 2 Directors within a business that provides services used by many of the world’s largest organisations.
This is a part time opportunity, for 18-20 hours per week, with hybrid working arrangements for 1 day per week from home.
In this role, you will provide top-level assistance for the Director of Insight and Markets, and the Director of Operations in all aspects of their work, utilising and providing wide-ranging administrative support to the highest level to make effective timely decisions and deliver professional support within a dynamic environment.
**What you’ll do**
- Provide ongoing scheduling and calendar management support to Board members. Exercise discretion in committing time and evaluating needs.
- Act as a first point of contact for internal and external inquiries for Executives and provide helpful and relevant information to stakeholders to diminish their workload by resolving matters directly or signposting elsewhere where possible.
- Undertake routine office administration to support the organisation.
- Communicate courteously and sensitively with a wide range of internal and external stakeholders, acting as an ambassador for the Board and Evident as a whole.
- Organise and prepare for meetings, including gathering documents and attending to the logistics of meetings.
- Produce meeting minutes and action logs, and distribute these to attendees, following up on specific points as necessary. Demonstrate a good understanding of relevant terminology with the minutes you produce.
- Devise and maintain efficient office systems, including data management, record keeping and filling. Track the expiration, review, and renewal dates of key business and financial documentation on behalf of senior colleagues.
- Answer and respond to phone calls, communicate messages and information to the CFO, and make calls on their behalf.
- Sort and triage incoming post and manage outgoing mail for the London Office when needed.
- Maintain the strict confidentiality of the Board’s and Company’s affairs across all duties.
**About you**
You will:
- Have extensive experience in delivering complex administrative support, with familiarity assisting Senior and Board Members in a PA or similar role.
- Have previously provided an EA service to a Director level.
- Be proficient in Microsoft Office suite and have previously used a finance system.
- Demonstrate experience in managing multiple priorities.
- Be well-organised, detail-oriented, able to multi-task with excellent follow-up skills.
- Possess strong written and verbal communication skills.
- Be able to work under pressure and to tight deadlines.
- Utilise a high attention to detail.
- Demonstrate capability to research, digest, analyse and present material clearly and concisely.
- Possess excellent interpersonal skills.

**Package Description**
- Salary: £40,000 per annum **for full time hours.**:
- Hours of work: Full time, 35 hours, Monday to Friday 9am - 5pm with a 1 hour lunch break.
