The department of Cellular Pathology is looking for a full time Band 3 Medical Support Secretary in order to provide a comprehensive administration/audio typing service and to deal effectively and efficiently with the processing of daily workloads and ad hoc office duties.

Applicants should be educated to GCSE/O level standard or equivalent and have excellent IT skills with knowledge and experience of all Microsoft office packages. Applicants should have RSA/OCR typing/word processing or equivalent. Knowledge of medical terminology is essential.

There is a need to be able to work to tight deadlines and withstand the pressures of a busy department.
- To provide a secretarial and clerical service for the Consultant Pathologists, junior medical staff and technical team in the Cellular Pathology Department, including word processing, filing, audio typing photocopying
- Transcribe macroscopic and microscopic descriptions via copy typing or from electronic digital dictation software packages
- Exercise judgement and initiative when problems arise by taking appropriate action to resolve the problem, or by referring the problem to the appropriate person.
- Ensure that pathology reports are sent out in accordance with the locally agreed time limits.
- Ensure that effective communication within the team, as well as with colleagues throughout the Trust and our service users is maintained. - Undertake and manage general office duties.
- Obtain information as requested by line manager.
- Work with managers to review working practices, ways of working and find solutions to problems.
- Ensure mandatory training is up to date and report accordingly.
- Record and input data onto databases and systems as appropriate.
- Be able to work as part of a team, promote effective flows in the department to cover leave and to ensure that the office runs smoothly.

**Please refer to Job Description attached for more information**:
1. Type dictation from audio transcription of clinical correspondence and
documentation.
2. Quality check documentation completed in clinical administration support.
3. Ensure appropriate follow up arrangements/investigations are in place. Liaise with personal medical secretary of speciality accordingly.
4. Complete any tertiary referrals to external Trusts and ensure these are
completed on the PAS system. Keep track of referrals to ensure patient is
promptly reviewed. Check that follow up appointments are arranged in
conjunction with patient pathway.
5. Mentor, train and supervise relevant junior staff as required.
