**JOB DESCRIPTION**
Job Title Administration Assistant/Receptionist
Based Head Office, Creeting St Mary
Reporting to Administration Supervisor
**The Role**
To provide administration support within the Admin Team for the departments of the business and to cover reception when required.
**Responsibilities**
- Taking and directing calls.
- Cleaning, organising, and maintaining the reception area
- Using the Public Address (P.A.) loudspeaker system as needed to call for people and make announcements
- Greeting visitors, helping them navigate through an office, and supplying them with refreshments as they wait.
- Maintaining calendars for appointments & meetings
- Preparing & sending letters, presentations and reports
- Maintaining electronic filing systems
- Maintaining office stationery supplies
- General photocopying and scanning
- Management of incoming/outgoing post
- Maintaining Contact lists
- Create and check invoice numbers/Typing Invoices
- Make up starter packs
- Maintain kitchen supplies
- Register new Tenders on to the Workspace Register and Issue Tender number
- Acknowledge Tenders to Clients
- Uploading documents/drawings to Asite
- Printing document/drawings in folders
- Access Portals to download documents
- Represent the business core values at all times

**Requirements**:
Previous experience in administration or office environment
Good verbal, written and interpersonal skills
Excellent telephone manner
Excellent organisational skills
Computer literate with experience of Outlook, Excel and Word
Good team player willing to learn new tasks to assist colleagues
Solid written and verbal communication skills
Multitasking and time-management skills, with the ability to prioritize tasks
**Hours of Work**
8:30-5:00, Monday to Friday
