Emergency Department Receptionist

We are looking for enthusiastic and motivated Receptionists to support our bustling and friendly Emergency Department at Southend University Hospital NHS Trust.
You will work as part of a team to help improve patient experience and quality of care within the Emergency Department.
The post holders will be working in both a front line and back office capacity and should have the ability to interact with patients and staff on a daily basis in an efficient and friendly way, staying calm in any situation.
You will be responsible for ensuring that the correct information is recorded using a variety of IT systems, whilst dealing with a variety of queries.

You must be motivated, with good communication, inter-personal and administration skills and be comfortable working in a dynamic and demanding environment.
Part-time applicants are also considered.
Planned 4 week rota supplied at interview.

**Duties & Responsibilities**:
**Clerical**:
- Undertake registration procedures, using the Medway system, on patients presenting to the department.
- Liaise with medical/nursing staff regarding patient priority.
- Answer and deal with enquiries from patients and relatives presenting to the department.
- Obtain unit folders as and when required from medical records.
- Obtain hospital numbers and patient information from Medway.
- Answer and deal with telephone enquiries efficiently and politely.
- Ensure that discharge letters have been requested for all patients who have attended the department.
- Collate discharge letters to be mailed to GP surgeries.
- Gather patient’s notes which may be required for the departmental clinics.
- Book outpatient appointments for fracture & physio clinics on Medway.
- Collate notes for outpatient referrals.
- Carry out filing and document imaging of patient’s records and miscellaneous documents.
- Photocopying patient’s records and documents as required.
- Undertake other duties, which may be delegated from time to time, after consultation, as appropriate to the grade of the post.
**Professional**:
- Professional standards of confidentiality in regard to patients and staff will be observed and the provisions of the Data Protection Act will be complied with.
- All Person Identifiable Information (PII) must be held in the strictest confidence and should be disclosed only to authorised people in accordance with NHS Confidentiality Guidelines
- (Caldicott) and the Data Protection Act 1998 unless explicit written consent has been given by the person identified; Or where information sharing protocols exist. The post holder is responsible for meeting the requirements of the Data Protections Act 1998, ensuring that PII is up to date, that data is timely and the information is securely stored and safely disposed of when there is no continuing requirement for its retention. All clinicians are responsible for ensuring that clinical information extracts or reports are accurate prior to distribution.
- To attend regular reception staff meetings.
- To take part in Major incidents/exercises.
**Conditions of Service**:
- A full 4 week rota is in operation.
- Hours to be determined by the Reception Supervisor.
- The post holder will be required to work Bank Holidays, including Christmas day & Boxing day, as rostered.
- The post holder undertakes to make himself/herself available to cover annual leave and sickness leave or other reception staff as required by the department.
- Requests for annual leave must be approved by the Reception Supervisor and made in accordance with departmental policy.
- Sickness absence is to be reported to the Reception Supervisor in accordance with departmental policy.
- The post holder will participate in the appraisal system which operates throughout the department.
- Uniform is provided and must be worn at all times.
