Our client is a co-educational school for children aged 11 - 18 years and is looking for an HR Operations Lead to join its team.

**Salary**:
£40k - depending on experience

**Location**:
Hammersmith, London W6 9LR (There is no parking on site so it is recommended to usepublic transport when travelling to the school)

**Hours**:
37.5 hrs a week, Monday to Friday

**Job’s Purpose**:
The HR Operations Lead will work closely with both the HR Administrator (Recruitment) and the HR Administrator (Systems and Data) to deliver an efficient and effective HR Operations and Administrative service across both the Upper and Prep School. The HR Operations Lead will also provide general HR support and guidance to stakeholders across the employee lifecycle.

**Responsible for**:
Co-ordinating task and resource allocation across the operations team. Both the HR Operations Lead and HR Administrators have clearly defined administrative responsibilities, work flows and designated areas of expertise within the team; you will need to ensure the team work closely, provide support when needed and that the team’s resources are flexed during busy periods and times of leave.

**Key Responsibilities**:
**Employee Relations**
- Keep up to date with relevant employment and case law; ensuring that the school adheres to changing statutory requirements.
- Monitor absence levels within Support Staff, consulting with Line Managers, Occupational Health and the Assistant Director of Human Resources when necessary.
- Co-ordinate and deliver staff induction meetings and exit interviews.
- Act as the key point of contact for pregnant staff and those on family leave, ensuring relevant risk assessments are completed and leave/salary calculations are accurately processed.
- Co-ordinate and review termly induction training days for new Support Staff.
- Co-ordinate and review induction plans for new joiners, supporting line managers in ensuring that these are completed.

**HRIS & Data**
- Working closely with the HR Administrator (Systems and Data).
- Ensure that the HR system (CiPHR) is fully and effectively utilised.
- Ensure the continual improvement and implementation of HR systems and processes that comply with legislation and best practice.
- Support the maintenance of CiPHR and resolving general or technical CiPHR queries.
- Ensure the timely and accurate reporting on agreed HR and School Strategy KPIs; utilising CiPHR’s full reporting functionality and other appropriate data sources to provide meaningful and timely data analysis as required.

**Recruitment**
- Take a lead role in support staff recruitment; preparing recruitment material and being the HR representative on interview panels.
- Support and assist the HR Administrator (Recruitment) with general administration and pre-employment checks during busy periods.
- Work with the HR Administrator (Recruitment) to provide advice and support to line managers throughout the recruitment process.
- Ensure that all recruitment activity is scheduled and runs smoothly by regularly liaising with the HR Administrator (Recruitment) on the operational recruitment plan.

**Policies & Compliance**
- Ensure the Single Central Record is up-to-date, inspection ready and meets the standards required by the Department of Education and the Independent Schools Inspectorate regulations at all times.
- Regularly audit the SCR, staff files and records of workers on the school site to ensure they evidence completion of required pre-employment and safeguarding checks.
- Ensure HR data use and retention complies with the internal policy and GDPR requirements.
- Oversee the production of appointment letters for support staff.
- Support with the issuing of contracts to all staff as required.
- Carry out the HMRC IR35 self-employment status check where relevant and provide advice with regards to engaging contractors and workers; providing Contracts for Services where appropriate.
- Assist with the annual review of employment policies and Employee Handbooks.
- Work with Compliance Officer and HR Administrator (Systems and Data) to accurately complete annual ISC Census.

**Payroll**
- Liaise with the Payroll Manager to ensure salary details, pension information, starters, leavers and maternity pay are processed smoothly.
- Ensure support staff paid weeks and FTE salaries are accurately recorded in agreement with Payroll Manager.
- Inform the Payroll Manager of part time teacher attendance at INSED.
- Assist with preparation of annual reward statement letters following pay reviews.

**External Staffing Compliance - Contractors**
- Liaise with the Estates and Facilities Department to ensure that all external maintenance contractors and security staff teams are compliant to be on site and formulate an annual timeline of contractors required onsite.
