Administrator / Facilities Management Assistant & Office Receptionist who has a solid administrative and organisational background with good coordination, time-management and customer service / front of house reception desk skills is required to join our team the Army Benevolent Fund (ABF), which is the Army’s national charity, supporting soldiers, veterans, and their immediate families in times of need.

**SALARY**: £27,000 per annum + Benefits

**LOCATION**: Hybrid / Work from home and the office in Victoria, London (The Charity currently operates a minimum of 2 / 3 days per week in the office)

**JOB TYPE**: Full-Time, Permanent

**WORKING HOURS**: 35 Hours per Week

JOB OVERVIEW

We have a fantastic new job opportunity for an Administrator / Facilities Management Assistant & Office Receptionist who has a solid administrative and organisational background with good coordination, time-management and customer service / front of house reception desk skills.

Working as the Administrator / Facilities Management Assistant & Office Receptionist you will be responsible for the day-to-day running of the front of house services provided to the Army Benevolent Fund.

As the Administrator / Facilities Management Assistant & Office Receptionist you will also support our tenants and assist the Facilities Manager with the operational running of the London & regional offices.

DUTIES

Your duties as the Administrator / Facilities Management Assistant & Office Receptionist include:
Primary point of contact for all visitors and contractors

Maintain the security of the building by ensuring all visitors and contractors sign in/out and are issued with a temporary badge

Answer and screen phone calls

Deputise for the Facilities Manager in their absence

Act as the Senior Fire Marshall

Assist the Facilities Manager and Health and Safety Management Team covering monthly checks, upkeep of training records and preparing reports

Responsible to the Facilities Manager for the control, service and repair of all office equipment including logging faults

Ensure safe access to the building for all staff and visitors, ensuring lifts, walkways and facilities are operational at all times through weekly inspections

Maintain the access control database

Provide security passes, alarm codes and training for all staff and licensees

Procure all stationary and consumables, raising purchase orders, monitoring spend

Maintain post room operations

Book taxis, couriers and parcel delivery

Ensure all break rooms and meeting rooms are re-stocked and fully operational daily

Accept and book meeting rooms

Set up meeting rooms

Implement and input on all wellbeing initiatives

Assist with projects and charity events

Provide admin support

CANDIDATE REQUIREMENTS

ESSENTIAL

Excellent office administration and IT skills including all MS Office products

Effective verbal, listing, written communication and decision-making skills

Reliable, punctual with excellent time-keeping skills

Be flexible and demonstrate sound work ethics

Articulate, polite and professional manner with the ability to converse confidently

DESIRABLE

Level 2 Health and Safety in the workplace

Previous experience in a reception desk role

Understanding of budgets and contract management

AV literate

Samaritans Workplace training or equivalent

First aider at work
