Office Administrator/personal Assistant

Overview:
Euro Clad Project Services Ltd, a commercial building façade maintenance and glazing contractor based in West London, is seeking a dynamic Office Administrator/Personal Assistant to play a pivotal role in supporting the Directors and ensuring the smooth operation of daily office and company administration activities.
**Responsibilities**:
**Personal Assistance**:
- Provide comprehensive personal assistance to the team, including managing calendars, scheduling appointments, and arranging travel logistics.
- Prepare and edit correspondence, reports, and presentations, ensuring accuracy and professionalism.
**Administrative Support & Bookkeeping**:
- Act as the primary point of contact for external stakeholders, handling enquiries and directing communication as appropriate.
- Assist in the preparation and coordination of meetings, events and conferences.
- Assist in sourcing materials and equipment, managing purchase orders for suppliers.
- Process invoices, and other financial documentation, maintaining accurate records.
- Process bills and expenses, reconcile payments, process CIS reports and VAT returns.
- Maintain up to date records of project statuses and actions needed for progress.
- Ensuring necessary certificates/accreditations are always in date.
**Qualifications**:
- A confident telephone manner.
- Strong communication skills.
- Strong organization and time management skills.
- Accuracy and attention to detail.
- Ability to work within a fast-paced environment.
- Proven experience as a Personal Assistant and/or Office Manager, preferably within the construction or related industry.
- Excellent organizational and time management skills, with the ability to multitask and prioritize effectively.
- Strong written and verbal communication skills, with meticulous attention to detail.
- Experience using Xero accounting software would be an advantage (training will be provided).
- Exceptional interpersonal skills, with the ability to build relationships with internal and external stakeholders.
- Discretion and confidentiality in handling sensitive information.
**Job Types**: Full-time, Part-time
Pay: £25,000.00-£38,000.00 per year
Expected hours: No less than 10 per week
