**Receptionist / Clinic Administrator**

Brighton Physiotherapy Clinic is looking for a flexible, well-organised and confident person to join our fantastic & friendly team. The position would fill 1of 2 part time job sharing positions over 2 days a week.

The clinic is based over 3 sites with this position being based at our main site in Kemptown. We offer a wide range of outpatient physiotherapy services, including musculoskeletal, vestibular rehabilitation, women’s and men’s health, acupuncture and sports massage.

We need a customer focused, friendly & responsible individual to provide excellent customer service, working both independently and part of a team.

You need to be dynamic and forward thinking to look for opportunities to progress both the working systems as well as promotion of services.

We would like you to have experience in working within a clinic setting and have a knowledge of physiotherapy practices.

The position is a front of house role and therefore you need to have great communication skills, a friendly persona, be helpful and efficient, instilling confidence in both patients and staff. Diplomacy, patience and pragmatism are essential.

You will need to be calm under pressure and feel comfortable with prioritising tasks, remembering to come back to tasks you may have had to stop working on, in order to deal with something more pressing that has arisen.

You will need to be able to manage your own workload, use initiative and make decisions within guidelines.

A good grasp of IT services is essential with the ability to work from home if necessary.

**Main Duties**:

- Being an ambassador for the company, offering excellent customer experience to all clients.
- Have a good understanding of physiotherapy services and be able to communicate the value of our service, the clinic locations and products on offer.
- Good communication skills with both clients, referrers and therapists. To be able to speak to people on the telephone and face to face in a way that they feel comfortable and at ease.
- Ensure patients are welcomed in a friendly manner that puts them at ease from the moment they enter the premises.
- Ensure payments for treatments are taken from the patient at the end of each treatment session and feel confident to take card details over the telephone when taking bookings.
- Have strong administration skills with a good eye for detail.
- To have an understanding of invoicing insurers, manage insurance portals online and have a good organisation of when invoices need to be sent.
- Manage a digital diary and digital notes on Jane.app over 2 sites.
- Liaise with tech support when necessary.
- Record income & outgoings in accounts software, FreeAgent.
- Have a strong grasp of social media and be able to post information about the business and services on Instagram, Facebook & Twitter.
- Ensure the waiting, reception and clinic areas are clean and tidy at all times, including emptying rubbish, cleaning surfaces, hoovering the floors and managing the laundry services.
- Type up clinical correspondence when required.
- Order and maintain general clinic and office supplies.
- Order and control the management of stock sales.
- Ensure compliance with data protection
- Be punctual, reliable and trustworthy.

**Job Types**: Part-time, Permanent
Part-time hours: 12 per week

**Salary**: £19,000.00 per year
