An exciting opportunity has arisen for an administrative role within our Maternity Team. You will take responsibility for the day to day overview of the roster. You will liaise with ward managers and matrons to ensure staffing is at appropriate levels at all times by communicating all staff groups.

Our maternity services here at Warwick hospital we have 3000 births a year and a dynamic and diverse team to help support the safe provision of care to mother, babies and families.

We are looking to recruit a motivated individual who fits our person specification. The post holder will be required to produce work to a high standard and in a timely manner. We are looking for an individual with good organisational and interpersonal skills who is highly reliable and who can offer support to enhance our service.

The post holder will provide comprehensive administrative and clerical support to the maternity unit focussing on the day to day management of all of the rosters within the maternity unit. Additional duties may include secretarial, HR and diary management.

The post holder will be expected to use a significant amount of initiative and discretion in the discharge of all duties and will be expected to work without direct supervision.

Ward Manager/Clinical Lead Support
Provide comprehensive, high quality administrative support for HR and incident investigations, including arranging meetings, taking minutes and typing of letters.
Receive and make telephone calls on behalf of the Ward Manager/Clinical Lead, taking messages, dealing with enquiries appropriately and ensuring
accurate and timely communication of messages including issues of a
sensitive, emotional, confidential and contentious nature.
Provide effective administrative support to the Ward Manager/Clinical Lead within a changing environment.

Health Roster
Maintain overview of Health Roster. Identifying any potential staffing shortfalls and escalating to ward manager/clinical lead as necessary.
Monitor sickness triggers for staff members and escalate to the Ward. Manager/Clinical Lead. Liaise with HR to arrange sickness meetings as necessary.

Equipment
Order equipment as requested by Ward Manager.
Maintain equipment logs when calibration or repair is required. Following up to ensure appropriate equipment availability is maintained.
Order supplies as necessary and as requested via trust systems.

Staff Administration
Support and advise new staff, ensuring administrative access and equipment requirements are complete.
Ensure ESR forms are complete for staff rotation or change of name.

Communication
Act as “Communication Champion” for the ward, linking in with the
Communications Department to ensure that Trust messages are disseminated to ward staff.
Compile the ward newsletter, including information relating to incidents, safety notices and screensaver messages.
Arrange ward/team meetings as required, taking minutes and following up actions.
Ensure ward noticeboards are kept up to date with current information.
As directed by ward managers/clinical leads, communicate with and arrange appointments and unit contact for women and families, who may sometimes be distressed.
