Customer Service Advisor

We are seeking a professional Customer service assistant, whose role will sit between our client's legal teams and Finance.
Reporting to the Customer Service Team Leader, you will be responsible for a defined set of accounts with our customers in the Legal sector (local councils and family law solicitors), ensuring our customers are satisfied with the service they have received.You will work to resolve any customer queries or concerns they may have to ensure prompt payment of the accounts within your portfolio.
You will consistently deliver a high quality service, with a focus on responsiveness, organisation, efficiency and helpfulness.
You will also assist in identifying and implementing ways to develop and deliver improvements to the service provided.
**Responsibilities**:
- Call customers (generally social workers and family law solicitors) 7-10 days after the completion of a case, with further follow-up calls if required, to review their experience with our client, reporting any dissatisfaction to the Legal Case Managersand the Customer Services Team Leader in order for issue resolution activity to take place
- Make sure our customers receive invoices within 48 hours, check a PO has been submitted and, if necessary, help customers with invoice queries to enable them to pay invoices in a timely manner
- Resolve minor invoice queries (split invoicing, making small amendments, dealing with credit notes etc), escalating any reported dissatisfaction or disputes to the Customer Service Team Leader to prevent debt ageing
- Record activity on CRM to enable proactive follow-up
- Bring to the attention of the Customer Service Team Leader any accounts refusing to pay or facing financial difficulty, for them to liaise with the Finance team to agree the most suitable solution
- Instil confidence in customers by providing a premium and personal service to suit their needs
- Obtain and maintain a thorough understanding of our clients services in order to provide the highest level of advice, support and customer service
- Regularly report activity and performance, along with risks and issues, to managers
Key Skills
- Previous customer service experience working in a fast-paced environment
- Excellent written and verbal communication skills, able to communicate professionally and positively at all levels with a highly professional telephone manner
- Able to become conversant in complex processes very quickly
- Analytical skills to understand, investigate and resolve queries
- Self-motivated, proactive and able to prioritise and manage workload and complete tasks effectively
- Proficient in MS Excel, Word, and Outlook
- Experience of using Salesforce or other CRM system
- Experience of using Sage Intacct is desirable but not essential
- Excellent interpersonal skills with the ability to engage, motivate and influence
- Willing to undertake routine tasks
- Able to use initiative but also work well within a team
- Flexibility and agility in approach
Salary c. £21k - £22k plus excellent benefits
