**Job Purpose**
The Teaching Support Administrator will work as part of the School of Physics & Astronomy’s Teaching Support Team (TST). They will be responsible for providing comprehensive, high level administrative support, information and advice to students, academic and support colleagues across the School and university.

**Main Duties and Responsibilities**
1. Work as part of the TST to be responsible for providing a broad range of course administrative support across 60 undergraduate and postgraduate taught courses in line with School, College and University procedures. Work independently to resolve queries in a timely and efficient manner via the TST shared mailbox, Ivanti, telephone and in-person regarding all aspects of the UG & PGT life cycle.
2. Participate in the coordination of 3 annual exam diets (Apr-May/Aug/Dec) by assisting in the large-scale process of collating and distributing submissions to markers, checking marking, recording grades and ensuring the implementation of stringent procedures to ensure accuracy and confidentiality.
3. Independently coordinate and deliver the administration associated with the exam provisions granted to students registered with Disability Services. Liaise with Registry, ensure all students and class heads are notified of the provisions, book exam rooms and invigilators if required, organise additional exam materials and ensure the smooth running of exams held within the School on the day.
4. Provide a broad range of administrative support for 5 of the School's undergraduate level 1 and 2 courses. This will include support for enrolment, room bookings and continuous assessment, in consultation with the class and lab heads, as appropriate.
5. Work with the Senior Teaching Support Administrator to provide administrative support for the School’s 7 MSc programmes. Act as a TST point of contact for the PGT Convenor and PGT Project Coordinator, as well as teaching staff, support staff and students to provide advice regarding all aspects of the PGT life cycle.
7. Assist the Senior Teaching Support Administrator with the collation of course results from Schools across the College, as well as the University of Edinburgh, in advance of the PGT Exam Board meetings (6 p.a). Manage PGT Committee mailing lists and the meeting paper repository via Sharepoint. Prepare and dispatch agendas and papers; ensure non-attendees of meetings are made aware of any actions concerning them and monitor and follow actions through to conclusion.
8. Take a lead role in the recruitment and registration of the School’s Extended Workforce (Demonstrators and Graduate Teaching Assistants) and Casual Workforce. Register posts, process Right to Work checks and process/verify timesheets as required, throughout the academic year.
9. Independently deliver the administration associated with the attendance monitoring of international students, with responsibility for ensuring effective communication with Registry on up-to-date UK Visa & Immigration (UKVI) policy and developments. Provide administrative support for all CAS enquiries and requests.
10. Deliver the administration associated with the UG Honours projects, with responsibility for assisting in the set-up of the poster presentations, preparing the Departmental Database, monitoring marker progress, chasing latecomers and disseminating marker feedback.
11. Undertake any other reasonable duties that the Learning & Teaching Manager may request in pursuit of excellence in administrative services.

**Knowledge, Qualifications, Skills and Experience**

**Knowledge/Qualifications**

**Essential**
A1 Scottish Credit and Qualification Framework level 7 (Scottish Vocational Qualification level 3, Higher National Certificate) or equivalent, and experience of personal development in a similar role.
A2 Knowledge of administrative procedures within a governance or legislative framework.

**Desirable**
B1 Understanding of university systems and structures, in particular learning and teaching.
B2 Knowledge of Glasgow University's key business systems supporting learning and teaching, such as MyCampus, Moodle and the Exam Paper System.

**Skills**

**Essential**
C1 Able to ensure adherence and effective and efficient processing of tasks and activities relating to people and data to ensure they comply with policies, procedures and administrative frameworks such as GDPR and Data Protection policies.
C2 Excellent attention to detail, ensuring accuracy and precision in data entry.
C3 Excellent written/verbal communication and customer service skills, underpinned by tact, diplomacy, empathy and discretion.
