**About the role**

Reporting to the Project Office Manager, the Resource Coordinator will manage resource scheduling and administrative tasks within Jigsaw24’s Project Office, supporting the wider Project Office team members.

**Key activities and responsibilities**:

- Log and record all Professional Services sales orders within the Project Office toolset
- Perform administrative duties for the department
- Maintain key project information within the Project Office toolset
- Schedule resource bookings within the toolset, together with subcontractor resource bookings
- Manage the Professional Services team and Professional Development bookings to support accurate utilisation reporting
- Understand the skillset of each engineer, and the skillset required for each engineer sales order/booking, to allow for strategic management of the engineering calendar and bookings.
- Strategically reduce/limit lead times for engineer bookings, and help to reduce the cost per booking, by realigning work between the engineers, considering outsourcing work to subcontractors, where required and where possible
- Review engineer bookings and upcoming orders with the Head of Technical Engineering, on a weekly basis, to address any resourcing concerns, resourcing movements/cancellations, and to provisionally schedule upcoming orders
- Schedule customer training sessions, and record the associated costs and revenue
- Effectively manage time, multitask across a number of projects/workstreams, and work in a fast paced environment
- Ensure accurate invoicing and recognition of revenue, as agreed with the customer, for completed work
- Track, categorise, and encourage the scheduling of TBC revenue twice weekly.
- For small orders/projects with no Project Manager/Coordinator assignment:
- Facilitate Pre-Sales to Project Team handover calls during the initiation activities
- Ensure the scope of the project is documented and customer sign off obtained prior to commencement.
- Understand the detail of the projects to be delivered, and ensure that the required tasks are understood and accepted by the assigned Professional Services engineer
- Schedule “kick off” and progress review meetings between the Professional Services engineer or trainer, and the customer
- Monitor project costs and revenue
- Manage requests for change to the scope, timeline or budget, and escalate related risks or issues to the Head of Project Office
- Consider the impact of the project to any existing systems, process or service contracts, and utilise the Jigsaw24 and/or customer change process, where required
- Facilitate the project handover activities to the Managed Services teams or customer

**About you**:

- Customer Service excellence and experience
- Resource coordination experience, working within Project Management teams
- Experience of task and resource management
- Excellent organisational skills and attention to detail, to ensure deadlines are met, and scope agreed and adhered to
- A positive and “can do” attitude, with the ability to work well in a small and specialised team
- Experience of assisting and supporting Project Managers and Coordinators
- Ability to use initiative and escalate where appropriate
- Budget and cost awareness, with the ability to identify risks to the agreed commercials and escalate where required
- A clear understanding of the technologies and solutions within the Jigsaw24 portfolio
- Advanced knowledge of the Microsoft Office Suite of products
- ServiceNow knowledge (Desirable)
