The postholder will be responsible for the day-to-day running of the Legal Services - Access to Health Records Service in conjunction with the Legal Services Assistant. The postholder will ensure that the Trust complies with the terms and conditions as laid down in the Data Protection Act 2018, the General Data Protection Regulations and Access to Health Records Act 1990 relating to the supply of information and records to patients and their representatives. The post holder will ensure that all requests for information are handled in a timely manner in accordance with the relevant legislation as above.
- To oversee the day to day running of the Access to Health Records service in conjunction with the Legal Services Assistant and to manage the Legal Services Assistant.
- To acknowledge receipt, process, collate and supply medical records, medical reports, Police, SFR and Court requests and any other requests for patient information as appropriate on behalf of the Trust. (This will include but not be limited to paper medical records, Hospital IT system held electronic records).
- To input, update and maintain all requests for medical records and other patient related information onto the legal services databases.
- To ensure that written consent and proof of identity has been sought from the patient or requestor to ensure that requests are complaint with the relevant legislation.
- To deal with all requests promptly and courteously for the release of information and deal with any queries arising.
- To assist with the on-going development/training of members of the team.
- To prepare reports for the Data Security & Protection Meeting when required.
- To assist the Legal Services Coordinator and Legal Services Manager with such tasks as are deemed appropriate in connection with legal claims against the Trust and Inquest preparation.

The Hillingdon Hospitals NHS Foundation Trust is the only acute Hospital in the London Borough of Hillingdon and offers a wide range of services including accident and emergency, inpatient care, day surgery, outpatient clinics and maternity services. The Trust’s services at Mount Vernon Hospital include routine day surgery, delivered at a modern treatment centre, a minor injuries unit and outpatient clinics.
