The Department of Anaesthesia, Pain Management and Critical Care is one of the largest departments in The Hillingdon Hospital, with more than 60 doctors, including 30 Consultants. The department provides anaesthetic services to 4 theatres at the Mount Vernon Treatment Centre and 7 theatres at The Hillingdon Hospital. There is also a busy obstetric unit with its own operating theatre.

The Anaesthetic Department Coordinator will provide comprehensive, confidential, and professional administrative support to the Anaesthetic team, ensuring all work is dealt with promptly and efficiently.

Diary management for lead clinicians and arrangement of departmental meetings.

To assist in the co-ordination of rotas, ensuring cover is found for any rota gaps.

Exercise initiative and carry out duties in such a way to make a direct and positive contribution to the organisation of the work.

Provide an administrative service to the consultant body, with diary management for the lead clinician.

Type meeting minutes, correspondence, and other papers in a timely and accurate manner. Prepare papers for meetings.

Manage the medical staffing rota, accessing systems to assist in the planning of rotas and dealing with complex and often conflicting demands on resources to ensure medical cover is delivered appropriately.

Ensure that rotas and the rota system are updated in a timely manner which in turn ensures the system is “live”.

Liaison with doctors both internally and externally to organise booking their locum shifts. Management of the ‘Patchwork’ locum booking system

To be conversant with the relevant IT systems and packages and, where necessary, create and maintain spreadsheets and databases. Ensuring accurate data entry.

Liaison with the undergraduate team to coordinate medical student placements.

To provide cover/assistance for the Anaesthetic Admin Manager /colleagues as required.
