To efficiently and professionally assist in the theatre, providing efficient and accurate administration of the surgery diary and its management. To promote and raise the profile of the clinic, its public perception and ensuring the successful running of the clinic overall. Reporting to the clinical/medical director.

1) Your primary role is to ensure that surgery days run as smoothly as possible.

This includes:

- Prepping the surgery day files making sure they are accurate, readable with no missing information or data. If a file is missing information it is part of your job to ensure that it is filled in. If the patient needs additional scans, refractions or appointments it is your responsibility to ensure this is arranged as failure to do so may hinder the journey that patient receives by way of cancellation of postponement of their treatment.
- Checking, organising the surgery day diary to ensure smooth running of the surgery day. This may include spacing patients more efficiently so the surgeon and theatre staff have enough time to rest, have lunch or rearrange the theatre space for a different type of surgery. You will be responsible for communicating these changes to the patients. You will liaise with the treating surgeon and the clinic manager.
- Courtesy calls for surgery patients a day or two before their treatments. This will be to communicate any unresolved matters such as chasing if payment is due/overdue and confirming arrival times and mostly just to gage if the patient has any questions and is ready for surgery.
- Be a part of the surgery team. This may include HCA, Laser Technician, Scrub Nurse, Co-ordinator, Scanner or Discharger - training for all these jobs will be provided.
- Assisting with flushing of RLE instruments, stock checking and putting away stock when it is delivered, cleaning of the theatre both after each surgery day and a deep clean once a month when there is free time in the afternoon. Also ensuring the crash trolley is checked and documented in the crash trolley logbook and informing the general manager when stock is missing or expired so they can order accordingly.
- Water testing should be done at least once a week, this can be done on surgery days or on admin days and documented in legionella logbook by either yourself or may be delegated to the nurses.
- Fridge temperatures need to be checked daily.
- Conducting a monthly stock count. This includes reorganisation and stock rotation and record what needs to be re-ordered. Give the report to the general manager who will order what needs restocking.
- If incident/accident/near miss happens you will be responsible to ensure it is reported and documented in the folder.

This involves:

- Answering incoming calls promptly, greeting callers warmly and listening carefully.
- Scheduling all appointments with the appropriate consultants using the booking system at any Optimal Vision branch including working from home.
- On occasion you will have ‘thinkers.’ You will be responsible for chasing these patients. The clinic manager will oversee this.

3) On clinic days you may be required to assist with the smooth running of the day.

This involves:

- Help with clinic management, scanning patients and co-ordinating clinic days for any clinician, consultant or optometrist including visiting surgeons conducting consultations on our premise.
- Counselling a patient after their consultation. This includes booking surgery dates, post ops, going through surgery day info, taking deposit / payment, sending confirmations, setting up finance if applicable and documenting all on paper file and on our system.

4) Ensure all organisational audit, policies and protocol standards are met at all times. Ensure continual review of administration and operational procedures within clinic to certify full health and safety within clinic whilst increasing the efficiency and effectiveness of the clinic.

5) Practice strict levels of patient confidentiality and GDPR. Act as a Company ambassador ensuring all interactions are conducted in a professional and helpful manner.

6) Perform any other duties as requested from time to time as needed.

7) To dress smartly and project a professional and business like image.

Full training will be given.

Bonus/commision is included.
