Administration Officer

An exciting opportunity has arisen for a highly motivated **Administration Officer **to support the Community Service Manager and the Intensive Support Team (Learning Disabilities) based at Heath Lane Hospital, West Bromwich.
The post holder will provide a comprehensive secretarial and administrative support across various disciplines/services to enable them to function effectively.
Excellent organisational, administrative and communication skills are essential, with the ability to work well under pressure and cope with conflicting demands, and have the ability to use your own initiative, while maintaining excellent attention to detail and a high level of confidentiality. You must be qualified to GCSE level C or equivalent in English and Maths and have proven experience of IT, especially Microsoft Office and minute taking. You must have the ability to work efficiently and creatively as well as confidence in managing and solving problems. **Job description and main responsibilities**:
*Act as a point of reference for incoming telephone queries, taking appropriate action personally or redirecting as necessary.
*Produce memos, reports and letters in accordance with Division guidelines.
Carry out general administrative and clerical functions including photocopying, filing and faxing as required.
*Process the client referral system and associated paperwork in accordance with
departmental systems.
*Maintain effective and efficient departmental systems and office procedures including adequate supplies of departmental forms/leaflets and stationery requirements.
*Maintain effective diary management as required by management.
*Process incoming/outgoing post, taking appropriate action as necessary.
*Maintain an efficient filing and records system, encompassing medical secretarial services.
*Collate statistical information and prepare returns appropriate to grade as required by management.
*Take notes or minutes of meetings as required and appropriate to grade.
*Undertake the administrative tasks of ordering of supplies and services including the submission of works tickets and urgent requests for maintenance/estates, where appropriate under the direction of the Line Manager.
*To supervise and mentor staff on Band 2 and below with support guidance from Line Manager.

*Significant experience of working in an office environment
Essential criteria:
*Experience of Microsoft Office Packages
*Good standard of Qualifications -5 GCSE's or NVQ equivalent)
*Word Processing / Typing at OCR Level 2 or equivalent / demonstrate experience
Desirable criteria:
*GCSE English A-C (5-9)
*Experience of working in a Health Care Setting
