We are looking for a Roster Coordinator to join our team at Cygnet.

Cygnet was established in 1988. Since then we have developed a wide range of health and social care services for young people and adults with mental health needs, acquired brain injuries, eating disorders, autism and learning disabilities within the UK.

The Roster Coordinator will be home based but will be required to occasionally travel to sites across the UK.

Cygnet is currently rolling out Allocate Optima (FKA Healthroster), an e-Rostering solution, which will require Roster Coordinators to be responsible for the following tasks (over next 24 months):

- Creates and manages the local staffing roster for their department
- Ensures staff list and demand template are correct for their service/department
- Liaises with Roster Admin re: any changes in local requirements, i.e. demand, shift times, leavers, etc.
- Ensure rosters are accurate and are managed following local policy and guidelines

Once the project has been completed and handed over to BAU (Business As Usual) the Roster Coordinator will then:

- Provide expert guidance and advice to enhance the use of the system.
- Maintain close contact with the local end users of the software, and ensure the rosters are up to date and relevant to the services’ needs.
- To maintain accuracy of the establishment data within the system to ensure that safe and cost-effective rosters are created in the most efficient ways, whilst adhering to all local policies.
- Provide support to the roster administrators, assisting with helpdesk queries, and taking on cases where complex solutions are required.

**BAU General Responsibilities**:

- Collate and review information from KPI (Key Performance Indicators) reports and identify areas which require expert support
- Coordinate and deliver training internally for the organisation going forward
- Maintenance of supporting user documentation and communications
- Administer and maintain the Allocate Optima (FKA HealthRoster) product suite going forward

**Specific Responsibilities**:

- Shadow the Implementation Consultant during all Phases of the implementation
- Undertake appropriate training to develop an excellent working knowledge of Allocate Optima (FKA Healthroster), and be prepared to continue learning as the system develops, in order to provide expert advice
- Liaise closely with other departments to ensure data accuracy between different systems, i.e., local managers, workforce systems, etc.
- Provide advice and guidance to Key Users during data gathering exercises
- Act as the liaison between Allocate support and the organisation
- Keep informed of software updates and ensure good knowledge of any new features
- Ensure communications and processes are updated as required, and information held on the local intranet site is current, i.e., user guides, standard operating procedures, best practice advice, etc.
- Maintenance of associated Allocate products, such as Loop, Roster Perform and Bank Staff (where implemented), as well as ensuring good knowledge of key features
- Assisting managers with investigations into rostering issues flagged within KPI reporting, such as excessive hours balances or WTE discrepancies
- Ensure end users have the most appropriate user profiles for their role and ability
- Ensure the system is configured in accordance with Local and National Policy
- Attend User Group meetings
- Assist with administration tasks for the Allocate Optima (FKA Healthroster) e-Roster Rollout Project Team.
- Assist with keeping the Allocate Optima (FKA Healthroster) e-Roster rollout project on task to ensure it is delivered to the desired standard and in a timely manner.
- Maintaining and capturing data for the Allocate Optima (FKA Healthroster) e-Roster project documentation.
- Receive training from Allocate Optima (FKA Healthroster)
- Assist in stakeholder engagement initiatives.
- Support with the Information Governance projects.
- To assist in the development of documentation, to include, protocols, procedural manuals, posters and leaflets and other communication materials.
- Provide general support to the Allocate Optima (FKA Healthroster) e-Roster Rollout Project Team & Data Quality Team.
