PURPOSE OF JOB

The purpose of the People Services Assistant is to provide first line support and advice on all people related queries and concerns, working with the People Advisory Services Team to escalate cases in line with the tiered structure.
The People Services Assistant is also responsible for the administration of people lifecycle activities related to the onboarding of new starters, lifecycle and key moment queries and actions all the way through to offboarding.
They will also support the People Services team Manager in additional duties such as offer and quality checks and the processing of ad-hoc activities such as invoices, loyalty awards and DBS checks.

LIST OF DUTIES
•Provide first line support to people, policy and guidance enquiries from both employees, line managers and external customers such as candidates
•Issuing of hiring documentation and on-boarding of new entrants, issuing new starter packs in a timely and accurate way
•Administration of staff changes – including personal information, promotions, other salary changes, maternity leave and transfers
•Updating the HR/People system with new starter and staff change information – ensuring input is done accurately and in a timely way
•Email managers on a periodic basis to notify and prompt them that fixed term contracts/secondments are due to end from report provided
•Process road vehicle license requests and update relevant information on travel passes and update relevant database
•Ensuring any errors or anomalies which crop up via People Services Audits are resolved and corrected to prevent overpayments
•Administration of leavers – including issuing of documentation and system processing
•Uploading and assigning queries on the ticketing system, issuing travel passes, and updating and maintenance of the document management system
•To support with the management of the medical inbox periodic programme in the absence of the Medical Compliance Officer or where additional resource is required
•Support the People Contact Centre Team Manager with final offer and contract quality checks
•Process all Invoices for the people team
•Process and coordinate the Loyalty Voucher Scheme
•Support the People Services Team Manager with first line escalations and queries from employees and managers
•Carry out DBS Checks for appropriate roles across the business
•Support with the training and upskilling of new and existing members of the team
•Assist the wider people team as and when necessary.

KNOWLEDGE, QUALIFICATIONS AND TRAINING
•Educated to minimum 4 GCSE level, experience in an administration role is essential. Working knowledge of core people activities is desirable.
•Highly motivated and flexible to work across a wide spectrum of people administration activities. IT literate, able to use Word/Excel and demonstrate attention to detail. Strong team player and a good all round communicator with solid verbal and written skills.
•Is able to communicate effectively with different stakeholders and build good working relationships
•High level of accuracy and attention to detail
•Able to juggle different priorities by having good time management skills and an efficient approach to workloads
