Reporting to the Billing Team Manager, the purpose of this role is to provide a comprehensive, focused billing/WIP based service. This role requires direct interface with Partners and Practice Groups, obtaining and receiving instructions on all billing issues and other WiP related matters (write offs & transfers) together with bulk billing for larger clients and e-billing.

The role

Key Duties and Responsibilities

  • Accurate preparation and review/editing of final fee notes as instructed by the appropriate partner/ fee earner, including billing provided to clients on their E-billing systems;
  • Meeting Partners to agree billing and related WiP & Debt instructions and deal with any older/problematic WiP
  • Dealing with all levels of staff throughout the firm;
  • Provide support to Billing Team Manager in relation to client/matter WiP/Billing analysis and breakdowns;
  • Monitor and progress (to completion) requests received within Billing team to ensure all work carried out promptly;
  • Obtaining authorisation regarding write offs and AML related issues arising from billing requests;
  • Preparing and processing WIP and disbursement write offs as required
  • Dealing with queries accurately and promptly
  • Providing training and billing and Client/Matter page guidance as required to Partners/fee earners and PAs;
  • All of the above to be carried out in accordance with Firm Policy, SRA, HMRC and AML Verification guidelines;
  • To undertake any other reasonable duties as requested.

Candidate Profile

Essential

  • Enthusiasm, accuracy and a keen eye for detail;
  • Comfortable working as part of a team but also able to perform to own initiative when required;
  • Excellent client (internal and external clients) relationships skills with a ‘can do’ attitude to support client service;
  • Adaptable to change in relation to processes and software used and deployed throughout the firm;
  • Confident in own judgement and skills, but also able to know when it’s necessary to call upon the help and expertise of others;
  • Strong organisational skills and the ability to work under pressure in a busy and demanding environment;
  • Proficient with Word, Excel and Outlook.

Technical Skills/Experience

  • Demonstrates appropriate range of knowledge and, with assistance, can identify issues outside their expertise and seek appropriate assistance.
  • Demonstrates initiative to obtain relevant information to complete tasks.
  • Produces a solution best addressing the client’s requirements, with guidance.
  • Demonstrates potential to display effective spoken and written advocacy skills.

Business/Work Management

  • Works as part of a team to attain objectives within agreed timescales and budgets.
  • Keeps all clients and colleagues up-to-date with latest developments.
  • Complies with all firm policies and procedures, including financial.
  • Implements improvements in working methods.
  • Prepares well for meetings with guidance.
  • Makes effective use of the firm’s information management systems, and complies with all legal and regulatory requirements.
