Administration Assistant

We are looking to employ an Admin Assistant to be based in Swanwick and to work with us on a full-time or part-time basis, we are also happy to consider candidates on a fixed-term contract or permanent basis.

The Role

  • Responsible for opening and scanning post received
  • Distributing documentation to correct person/department and either destroying or preparing and returning customers documents
  • Recording post received and ensuring details on customer file are updated
  • Preparing renewal invitation, attaching appropriate documents, recording actions on file and preparing to post
  • Preparing and sending New Business and/or renewal documents, recording actions on file and preparing to post
  • Meeting and greeting guests and managing associated hospitality duties
  • Managing Office supplies including ordering supplies and raising invoices for approval
  • Assisting the Underwriting team with market research / competitor analysis.
  • Emailing customers for survey feedback and other required documents/information to pass to Underwriter.
  • Monitoring ‘general’ email inbox and forwarding emails to Underwriters / the appropriate person
  • Monitoring ‘voice messages’ left by customer and forwarding to Underwriters / the appropriate person
  • Help drive forward good Conduct for the business to deliver the best outcomes for customers / policyholders

Key Skills & Experience

  • Must have general knowledge in Microsoft applications, word/excel/emails and be familiar with internet search functionality.
  • Must have good attention to detail
  • Must be organised and able to deal with multiple priorities at the same time
  • Good communication skills and the ability to draft correspondence for internal and external stakeholders
  • Good customer service ethic, both internally and externally
  • Willingness and eager to learn
