How you make it all possible…
  • Providing daily support to the event project managers within the account team to fully understand the client's event objectives and requirements for each project from start to finish
  • Assisting with capturing all client actions and updating project plans as agreed
  • Being commercially aware and supporting with project reconciliation
  • Coordinating all crew logistics as required (accommodation, travel, catering bookings etc.)
  • Sourcing and negotiating contracts with third party suppliers and vendors
  • Overseeing all pre-event logistics and on-site event set-up
  • Providing on-site support for event build, live delivery and event de-rig
  • Taking ownership for the management of the client's event registration (pre-prep and on-site)
  • Coordinating event staff and volunteers, ensuring smooth operations during the event
  • Conducting post-event evaluations and providing recommendations for future improvements
  • Staying updated on industry trends, best practices, and emerging technologies
  • Jumping into general event administration as guided by the team and Account Director
  • Supporting the team with formulating any client proposal and undertaking event research

  • Proven experience in event planning and coordination
  • Strong organisational and time management skills with a methodical and logical approach
  • Excellent attention to detail and problem-solving abilities (adhering to all GDPR guidelines)
  • Effective communication and interpersonal skills
  • Ability to multitask and work under pressure to meet tight deadlines
  • Problem-solving/creative thinking and decision-making abilities
  • Budgeting and financial management skills
  • Knowledge of event planning and coordination processes
  • Ability to negotiate and contract with vendors and suppliers
  • Flexibility and adaptability to changing circumstances
  • You don’t mind a bit of travel and time away from home
  • An awareness of industry best practices
  • Proficiency in event management software and Microsoft Office Suite (predominantly Excel, Word, and PowerPoint)
  • Experience of working within a similar event/agency environment

The role will be based primarily in our Hartlebury office but there will be times when you’ll need to work from our other offices and undertake other related commercial duties both in the UK and overseas. Flexibility is key
