Latham & Bond HR are working with a leading advanced magnetic resonance technology provider and solutions. Our client is renowned for their innovative and non-invasive research tools that aid in studying living cells and tissues and provide detailed molecular analysis. We are seeking a Service Administrator to join their team. The function of the Service Administrator is to provide cohesive, administrative, and operational support to the in-house and field-based teams, maintaining our client’s reputation for unrivalled customer support and optimum customer satisfaction.


Key Responsibilities:


  • Acquire and maintain a good working knowledge of all major departmental administrative support procedures and processes.
  • Proactively assist in the maintenance and improvement of existing administrative procedures and processes.
  • Share tasks with administrative colleagues routinely and as needed.


Helpdesk:


  • Ensure customer support requests to the Helpdesk are efficiently and effectively handled.
  • Receive incoming calls to the Helpdesk from customers.
  • Log calls onto the computerised call tracking system (Sales Force Service Module).
  • Direct support requests to appropriate technical support staff.
  • Handle communications by mail and email from Outlook and SalesForce.
  • Provide quotations and process purchase orders (in SAP & SalesForce).
  • Invoice all service-related activities (using SAP).
  • Track stock parts, loan parts, and repairs.
  • Monitor and update Planned Maintenance Schedules.
  • Share a variety of routine Helpdesk administration tasks.


General Admin:


  • Design and use spreadsheets to organise, record, and analyse service agreements, schedules, and cost information.
  • General office administration, upkeep of various registers, distribution, collection, and collation of miscellaneous documentation within and between departments.
  • Maintain engineers’ call plans.
  • Timely and cost-effective ordering of cryogenic liquids and special gases.


Qualifications / Experience:


  • Outgoing and likeable personality with a high degree of personal integrity.
  • Confident but pleasant and patient telephone manner.
  • Self-motivation and a willingness to work with others toward a shared goal.
  • Smart, clean, and presentable in appearance.
  • Team player and adaptable to change.
  • Educated to A level or equivalent.
  • High standard of oral and written English.
  • Knowledge of MS Word and MS Excel.
  • Excellent communication skills, good articulation, and a high standard of spoken English.
  • Experience with SAP and Sales Force (Service Module) preferred but not essential.
  • Keyboard competency.
  • Well-developed and responsible attitude with an enthusiasm for helping others.
  • Reliability and a sense of purpose in seeing things through to completion.
